Procurement Coordinator, Orlando, FL

TMS is a leading transportation and parking management firm, providing transportation logistics for complex events in the commercial and government sectors, both in the United States and overseas. On the Commercial side, managing over 100 conventions and special events annually, including FIFA World Cup 2026, NBA All Stars, Kentucky Derby, Formular One Las Vegas, PGA golf tournaments and music events such as Burning Man and Coachella.

Summary:

The Procurement Coordinator is an essential member of the procurement department, responsible for chartering all vehicles (motor coaches, school buses, livery vehicles, etc.) used by TMS for events managed. This position reports to the VP of Business Initiatives and Partnerships and is based in Orlando, FL.

Primary Responsibilities:

  • Assists in the execution of processes, standards, and operational plans in support of Procurement strategy, including RFPs, negotiation strategy, cost accountability, and/or program execution.
  • Participates in programs for effective vendor selection and management with a view to minimize purchasing costs without compromising quality or reliability of supply.
  • Coordinates resolution of supplier issues or problems.
  • Monitors and coordinates suppliers' schedules as requirements change for assigned events.
  • Authorizes purchase orders, negotiates prices, and approves payments to support the procurement process for assigned events.
  • Analyzes and monitors suppliers' performance to ensure compliance with contractual obligations and to help determine the need for changes.
  • For ongoing programs, liaise with both client and supplier in the provision of services; prepares both client and supplier contracts, while monitoring fulfillment and management of both revenue and costs.
  • Provides on-site support to the Operations team during some of the larger events managed, such as Coachella Music Festival, Kentucky Derby, Formular One Las Vegas, LA 28.

Candidate Profile:

Analytical and detail-oriented professional who can manage multiple tasks under tight deadlines. Comfortable resolving issues while maintaining a high standard of customer service. Demonstrates strong organizational skills and exceptional attention to detail. Able to work outside of traditional working hours when needed. Looking to advance their career: upon successful annual review, the next step would be promotion to Manager.

Must possess strong written and verbal communication skills in English and the ability to work effectively in a multilingual environment.

Basic Qualifications:

  • Bachelor’s degree or 4 years of prior relevant (supply chain) experience.
  • Previous experience in procurement operations or similar environments.
  • Strong proficiency in Microsoft Excel and Microsoft Office applications.
  • Fluency in Mandarin or Spanish (both written and spoken with a strong preference for those who can speak both), with strong English proficiency.

Preferred Qualifications:

  • Previous experience working in the transportation or supply logistics industry
  • Advanced MS Excel skills, including data analysis and reporting.
  • High level of accuracy and attention to detail in all aspects of work.
  • Ambition and ability to conduct continuous improvement to working practices.
