Job description

The temporary Education Abroad Advisor is responsible for providing comprehensive support and advising services to students participating in study abroad programs at Pace University. Under the direction of the Director of Education Abroad, the Assistant Director will manage student advising, coordinate study abroad applications, and oversee key administrative processes, including registration, billing, pre-departure procedures, and risk management. Additionally, this role involves planning and executing study abroad-related events, promoting Education Abroad opportunities, and collaborating with various Pace departments to ensure the success and smooth operation of study abroad programs.

This is a temporary maternity leave position to cover the role of Assistant Director of Education Abroad.

Position Duties

  • Provide individual and group advising sessions for students regarding all aspects of outgoing study abroad programs, including program options, application processes, visa requirements, finances, and academic planning.
  • Serve as a primary point of contact for student inquiries via walk-ins, phone, email, and appointments, offering guidance and resolving any issues related to study abroad participation.
  • Ensure students are fully prepared for their study abroad experience by offering detailed, timely, and accurate information on all study abroad-related topics.
  • Coordinate all aspects of the study abroad process, including student applications, nominations, registration, billing, and pre-departure procedures.
  • Manage student records in systems such as Banner and Terra Dotta, ensuring data is accurate and up to date.
  • Work closely with Financial Aid and the Registrar's office to ensure that students are properly enrolled and their financial aid is applied appropriately for study abroad programs.
  • Plan and coordinate key study abroad activities, such as pre-departure orientations, Study Abroad Fairs, information sessions, UNV 101 presentations, and visa workshops.
  • Assist in the creation and dissemination of study abroad promotional materials (e.g., brochures, social media posts, email campaigns).
  • Manage the study abroad office's online presence, ensuring that relevant and engaging content is shared with prospective study abroad students.
  • Oversee finances for all direct enrollment semester programs, including confirming program costs with international partners, reviewing invoices for accuracy.
  • Assist in the management of risk for all study abroad programs, including responding to incidents or emergencies that arise during student travel.
  • Stay informed about current events, health advisories, and travel risks, and provide guidance to students and faculty in the event of incidents abroad.
  • Hire, train, and supervise Student Assistants and Pace Abroad Leaders (PALs), who assist with peer advising, student outreach, and general office administrative tasks.
  • Oversee the recruitment and training of PALs, who will conduct information sessions, classroom presentations, and assist in event planning.
  • Collect feedback from students, faculty, and partners to evaluate the effectiveness of study abroad programs and continuously improve the services offered.
  • Assist in reporting on program outcomes and contributing to data collection for institutional reporting, such as the annual "Open Doors" report.
  • Coordinate with various University departments (Registrar, Housing, Financial Aid, Student Affairs, etc.) to ensure smooth program operations and communication.
  • Performs other such duties as assigned from time to time.

Position Qualifications

  • Bachelor's degree required, Master's degree in higher education, international education, or a related field preferred.
  • At least three years of experience in higher education or international education, with a focus on study abroad programs.
  • Personal experience studying abroad required.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and administrative systems (e.g., Banner, Terra Dotta).
  • Strong organizational skills, with the ability to manage multiple tasks and prioritize in a busy office environment.
  • Experience with social media platforms and online marketing initiatives.
  • Excellent communication skills (both written and oral), with an ability to communicate effectively with students, faculty, and staff from diverse backgrounds.
  • Ability to work independently, as well as part of a collaborative team.
  • Experience working with student workers and/or peer advisors is preferred.
  • Strong interpersonal skills, including cross-cultural sensitivity and the ability to relate to a diverse student body.
  • Demonstrated problem-solving ability, with a proactive approach to managing challenges.
  • Training or experience in mental health support is a plus.
  • Knowledge of financial aid processes and billing systems is preferred.
