The Litigation Assistant provides logistical and administrative support to litigation trial teams, assisting with internal trial preparation and execution, coordinating travel and accommodations, supporting war-room and courtroom logistics, and tracking trial-related expenses and documentation. The Litigation Assistant works closely with senior litigation support staff and attorneys to ensure that all trial-related arrangements are organized, thoroughly documented, and completed promptly and in accordance with firm protocols.

Essential Responsibilities:

  • Assist Senior Litigation Manager and Senior Litigation Coordinator in gathering and documenting trial requirements (location/dates, matter numbers and billing, team composition, vendor/technology/facility needs).

  • Maintain and update trial checklists, timelines, and related information in firm systems, shared drives, and tracking tools.

  • Help confirm trial details with teams and route information to relevant internal departments.

  • Arrange travel for trial team members under senior staff direction (flights, ground transportation, hotel) using approved vendors and tools.

  • Coordinate hotel rooming lists and meeting space requests in line with firm guidelines and rate structures.

  • Collect and organize travel and hotel confirmations and prepare basic summaries of arrangements for trial teams.

  • Support war-room and courtroom logistics, including room reservations, workspace layouts, catering orders, and Office Services requests (printing, copying, supplies, shipping).

  • Assist with communications to satellite offices, hotels, and court facilities as directed.

  • Help monitor trial schedules and daily logistical to-do items, promptly escalating issues to senior staff.

  • Assist in coordinating with external vendors (hotels, transportation, court reporting, graphics, trial support, and other litigation vendors).

  • Request and collect vendor proposals, confirmations, and documentation, and maintain organized electronic files.

  • Escalate vendor issues or concerns to senior team members for resolution.

  • Coordinate with internal teams (e.g., IT, eMerge, Office Services) to schedule trial technology, equipment, and connectivity support.

  • Help maintain organized electronic records of trial logistics, contracts, confirmations, invoices, expense reports, and post-trial summaries.

  • Support communication and coordination with other administrative departments (e.g., Finance & Accounting, Client Care, Legal Talent) on matters impacting trial logistics or staffing.

  • Maintain strict confidentiality of all firm and client information.

Required Knowledge, Skills, and Abilities:

  • Strong organizational skills, with the ability to manage multiple tasks and maintain attention to detail under time pressure.

  • Ability to follow instructions, ask clarifying questions when appropriate, and meet deadlines.

  • Proven ability to work independently and as part of a team, collaborating effectively with attorneys, staff, and administrative departments.

  • Strong oral and written communication skills, with the ability to interact professionally with individuals at all levels and with external vendors.

  • Demonstrated initiative, reliability, flexibility, and a positive, solutions-focused attitude, with an interest in growing within the trial support function.

  • Demonstrated interest in litigation and trial support, with a desire to build a career in legal support or litigation operations.

  • Ability to work independently and collaboratively as part of team to support consistent, efficient workflows.

  • Ability to work effectively and efficiently in a remote, hybrid, and in-office environments.

  • Ability to quickly learn firm software, applications, and technologies (e.g., ChromeRiver, e-billing, and matter management systems).

Required Education:

  • A combination of education and experience that demonstrates the ability to perform the essential functions of the position.
