Job description

Title: Litigation Assistant

Client X, a growing national boutique Healthcare and Life Sciences Law Firm with over 40 attorneys and offices in Morris County, NJ, and New York City, seeks an experienced Litigation Assistant with 3+ years of experience assisting attorneys in a fast-paced law firm.
Client X offers a competitive salary, health care benefits, signing bonus, and 401k plan (available upon eligibility to participate). This position offers a great opportunity for growth and learning. Our Pine Brook, NJ location offers an onsite gym, meditation room, and modern office space.
RESPONSIBILTIES:

The Legal Secretary will be responsible for:

  • Managing attorneys’ calendars, including coordinating meetings, Court appearances, and appointments.
  • Setting up pleadings, including complaints, answers, discovery requests/responses, subpoenas,
  • Drafting correspondence to clients, Judges, and attorneys
  • E-Filing pleadings with state and federal court
  • Marking legal briefs (TOA and TOC)
  • Tracking CLE credits earned. Includes scheduling CLE courses and submitting certificates of completion to the state.
  • Compiling, scanning, Bates stamping and saving documents to our document management system (NetDocs)
  • Tracking documents for execution.
  • Answering direct telephone lines in a timely and polite manner
  • Coordinating attorney travel, as necessary
  • Drafting, proofreading, and revising legal documents and other case material.
  • Processing time entries for attorneys using CenterBase
  • Effectively communicating with staff, attorneys, and clients
Requirements:
  • 3+ years’ experience as a legal secretary at a Law Firm
  • Above average proficiency in MS Word and Adobe
  • Proficiency in Excel, PowerPoint
  • Moderately Tech Savvy
  • Excellent communication, proofreading, and organization skills
  • Ability to prioritize assignments and tasks
  • Ability to work in a high-volume environment and meet deadlines
  • Notary Public a plus
