Ballard Spahr has an excellent opportunity for an experienced Legal Administrative Assistant with demonstrated litigation, technical, and administrative skills to support attorneys and clients in our Minneapolis office. The selected individual will assume responsibility with minimal supervision, exercise initiative and sound judgment within their assigned authority, and champion collaboration with attorneys, colleagues, and clients in commercial litigation, dispute resolution and bankruptcy litigation. This position requires a proactive professional who can anticipate needs, manage competing priorities, and deliver exceptional client service in a fast-paced legal environment. This hybrid position offers a work schedule of 3 days a week in the Minneapolis office.

Your Role:

As a Legal Administrative Assistant within our Litigation team, you will:

  • Maintain and process case information through final disposition.
  • Create and manage electronic files and prepare correspondence, memoranda, pleadings, and other complex legal documents.
  • Prepare documents for state and federal court filings and electronically file documents in various state and federal courts.
  • Maintain attorney calendars, schedules, and contact information.
  • Support new client intake and related administrative processes.
  • Provide exceptional internal and external client service while managing multiple priorities.
  • Prepare and process time entries, coordinate billing activities, arrange travel, and manage expense reimbursements.

Required Experience:

  • Minimum of 5 years of commercial litigation, dispute resolution and bankruptcy litigation experience in a law firm or comparable professional services environment.
  • Ability to think and work proactively and independently with minimal supervision.
  • Experience preparing and e-filing documents in state and federal courts.
  • High degree of proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Experience with document management systems and time and billing systems preferred.
  • Demonstrated ability to exercise sound judgment, work independently with minimal supervision, and manage confidential information.
  • Strong organizational skills and the ability to prioritize competing demands while maintaining accuracy and attention to detail.

The targeted salary range for this position is from $85,000 – $95,000, which reflects the firm’s good faith and reasonable estimate of possible compensation at the time of posting. Actual pay will depend on several factors such as the candidate’s experience and qualifications.
