Our Purchasing Coordinator Assistant plays an important, behind the scenes role in keeping the TOA practice functioning at a high-performing level.  This role provides our facilities and colleagues with top notch customer service .

The responsibilities of the Purchasing Coordinator Assistant include:

Provide exceptional, responsive support for procurement activities:

  • Utilize software programs for ordering & inventory management.
  • Train & assist staff with ordering software programs.
  • Process and submit orders for all departments at all locations.
  • Find suitable alternatives to unavailable items and proactively prevent shortages.
  • Assist offices with backorders, shortages and returns.
  • Receive orders in current purchasing software program.
  • Assist Accounts Payable with invoicing, pricing and receipts.
  • Order, receive & stock medical supplies, office supplies and breakroom supplies at OC.
  • Gather, log and forward supplies to other offices.
  • Conduct monthly inventories and produce reports on specific drugs.
  • Support staff with coding and pricing issues.

Assist with other logistical and administrative support:

  • Assist staff with copier, fax, phone and other office equipment problems.
  • Assist Facility Operations Manager when requested.
  • Ability to use tools and make minor repairs a plus.
  • Provide backup support in the absence of the Purchasing Manager when needed.
  • Run courier errands: Bank, Central Business Office, procure food items for clinic breakrooms/meetings.
  • Empty shred (HIPAA) bins at locations as appropriate
Requirements

The ideal candidate for this position will have some experience working in a procurement or logistical support position.

Other requirements include:

  • College degree is preferred, but high school diploma is required
  • Demonstrated computer literacy regarding Excel, other MS Office products, and procurement systems
  • Must have a customer-service orientation, focused on meeting the needs of internal customers
  • Exceptional capacity to manage time and complete multiple tasks is an efficient manner
  • Must have a clear driving record
  • Ability to lift files, supplies, or paper weighing up to 30 pounds with or without reasonable accommodation.
