Listing Assistant information

What is a listing assistant?

Listing Assistants are professionals who support real estate agents or brokers in managing property listings. Their duties often include coordinating listing appointments, preparing marketing materials, ensuring property details are accurate on Multiple Listing Services (MLS), and communicating with clients. They help streamline the listing process, allowing agents to focus on client relations and sales. Listing Assistants play a crucial role in enhancing the efficiency and effectiveness of real estate transactions.

What are the typical daily responsibilities of a listing assistant in a real estate office?

A Listing Assistant in a real estate office is responsible for supporting agents throughout the property listing process. Typical daily tasks include preparing listing documents, coordinating photography and staging appointments, updating the Multiple Listing Service (MLS), and communicating with clients to gather property details. Listing Assistants also manage marketing materials, schedule open houses, and ensure listings are presented accurately and attractively. Collaboration with agents, photographers, and administrative staff is essential to keep the process running smoothly and efficiently.

What are the key skills and qualifications needed to thrive as a listing assistant, and why are they important?

To thrive as a Listing Assistant, you need strong organizational skills, attention to detail, and a basic understanding of real estate processes, often supported by experience in real estate or administrative roles. Familiarity with MLS (Multiple Listing Service) platforms, CRM software, and digital marketing tools is typically required. Excellent communication, time management, and customer service skills help you coordinate with clients, agents, and vendors efficiently. These abilities are crucial for ensuring accurate property listings, smooth transaction processes, and high client satisfaction in a competitive real estate environment.

While both roles operate within the real estate industry, a Listing Assistant primarily supports listing activities and marketing, often requiring a real estate license. A Real Estate Agent actively works with clients to buy or sell properties, handling negotiations and transactions. The Listing Assistant role is more administrative and support-focused, whereas the Real Estate Agent is client-facing and sales-oriented.

A listing assistant helps prepare and manage property listings by gathering information, taking photos, and ensuring accuracy in descriptions. They often coordinate with real estate agents or property managers and may use listing platforms or software to upload and update listings. Job description

Summary
An Exceptional Opportunity to Learn From One of the Area's Top Listing Agents
The Bouma Group is looking for a highly motivated, ambitious individual to work directly alongside one of our most successful Listing Agents, who personally lists more than 80 homes per year.
This is not a traditional assistant position, and it is not a position for someone simply looking for a job.
It is an opportunity for someone who wants to build a career in real estate sales, learn the listing business at a very high level, and eventually take on significant responsibility within a successful real estate organization.
The real estate market has changed. Homes are taking longer to sell, sellers require more communication and guidance, pricing strategies need to be adjusted more frequently, and successful agents must prospect consistently rather than simply wait for business to come to them.
Because of that, we are looking for someone who thrives in a fast-moving, demanding sales environment and wants to learn what it takes to become an exceptional listing professional.
Responsibilities
  • Graduate from PLACE Agent Launch
  • Execute PLACE lead generations systems weekly
  • Conduct two open houses monthly
  • Convert prospecting and lead generation activities to appointments
  • Participate in weekly script practice per team standards
  • Participate in team activities per team standards
  • Commit to weekly 1:1 coaching session, weekly trainings and Partner Call
  • Consult with sellers, convert to listings and market homes
  • Demonstrate expertise on pricing strategies, staging and other listing related services
  • Negotiate offers on behalf of your sellers
  • Track activities and clients in PLACE Technology
What You Will Be Doing
Responsibilities will evolve as your abilities grow but will initially include:
  • Working directly with our Listing Agent to help organize and prioritize a large listing pipeline
  • Following up with sellers and prospective sellers
  • Helping prepare for listing appointments
  • Maintaining accurate information in our CRM and lead-management systems
  • Tracking listing activity, showing feedback, market changes, and seller follow-up
  • Assisting with price adjustment strategies and communication
  • Helping ensure nothing falls through the cracks on 80+ listings per year
  • Following up aggressively and professionally with incoming seller opportunities
  • Prospecting for new listing opportunities
  • Calling FSBOs (For Sale By Owners)
  • Calling expired listings
  • Following up with Fello seller leads
  • Nurturing prospective sellers who may be months away from making a move
  • Identifying opportunities within our database
  • Setting appointments for the Listing Agent
  • Learning scripts, objection handling, lead conversion, pricing strategy, and listing presentation skills
Qualifications
You are an intrinsically motivated sales professional with a competitive spirit. You are excellent at building rapport, listening to the needs of others and identifying solutions. Prospecting and lead generation are your strength zones. Overcoming objections comes naturally. You are a strong communicator and committed to service.
  • Team player
  • Licensed real estate professional
  • 3+ years' of real estate sales experience
  • Strong written and verbal communication skills
  • Learning based, growth-minded
  • Organized
  • Willingness to learn scripts and dialogues
  • Excellent time management skills
About-our-team
"At The Bouma Group, we're not looking for agents who simply want a place to hang their license. We're looking for people who want to become exceptional at this business.
We've spent 40 years building the reputation, database, systems, market knowledge and infrastructure that most agents spend their entire careers trying to create. You get the opportunity to plug into that platform and learn alongside some of the most productive people in our market.
We'll provide the training, opportunities, support and accountability-but we'll also expect a lot from you. You'll need to be driven, coachable, competitive, willing to prospect and willing to do the things that successful agents do consistently.
For the right person, the opportunity isn't simply to sell more houses. It's to become a dramatically better real estate professional and build a career that might have taken twice as long to build on your own."
"We shorten the learning curve and increase the opportunity curve."
