Position Summary

The Customer Service Associate and Logistics Support is responsible for managing customer orders from receipt through invoicing, ensuring accurate sales order processing, timely customer communication, and coordination with internal departments to support on-time delivery. This role works closely with Production, Quality, Engineering, and Logistics to meet customer requirements, maintain accurate order information, and support daily operations, including serving as a backup to the Logistics Supervisor when needed. The ideal candidate is highly organized, thrives in a fast-paced manufacturing environment, demonstrates strong attention to detail, communicates effectively, and has a willingness to learn new processes and continuously expand their knowledge of customer service, SAP, and logistics operations.


Essential Functions

  1. Lead the contract review process to ensure customer purchase orders are accurate and coordinate resolution of discrepancies with internal departments and customers as needed.
  2. Create, process, and manage customer sales orders in SAP while maintaining accurate backlog information.
  3. Enter and maintain customer commit dates in SAP and customer portals, ensuring timely communication of delivery updates.
  4. Monitor customer priorities, forecasts, and delivery commitments, coordinating with internal teams to meet customer expectations.
  5. Coordinate with Shipping and Receiving on incoming and outgoing orders to ensure timely processing and shipment.
  6. Communicate customer shipping priorities, expedited requests, and special delivery requirements to internal teams.
  7. Assist with Goods Receipts (GRs) in SAP to support incoming customer orders.
  8. Assist with Post Goods Issue (PGI) and Billing Documents (invoicing) in SAP in a timely manner.
  9. Support customer-owned insert management by confirming insert availability with Logistics Supervisor and coordinating with customers to obtain additional inserts when needed to support production schedules.
  10. Provide customers with order status updates through email, customer portals, and meetings as required.
  11. Develop an understanding of customer purchase order requirements and collaborate with internal teams to ensure orders are fulfilled according to customer-specific shipping and delivery requirements.
  12. Serve as the backup to the Logistics Supervisor by supporting invoicing, shipment coordination, and directing shipping priorities during supervisor absences.
  13. Maintain organized records and documentation in accordance with company requirements.
  14. Perform other duties as assigned.

Work Environment

This job operates in both an office environment and a manufacturing environment. The role routinely uses standard office equipment, such as computers, phones, photocopiers, filing cabinets and fax machines. The individual will be required to adhere to safety policies and procedures on the manufacturing floor.


Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand, walk, use hands to finger, handle or feel and reach with hands and arms.


The employee is occasionally required to sit, climb or balance and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 lbs and occasionally lift and or move up to 50 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.


Position Type/Expected Hours of Work

This is a full-time position, Monday through Friday 8am to 5pm, with additional hours based on business needs.


Travel

Occasional overseas and domestic travel may be required to support the rapid growth of the company.


Education

High School Diploma or GED Preferred

Associate degree preferred
