THE OPPORTUNITY

This role serves as the lead point of contact for the lighting scope of work on projects where the company operates as a subcontractor to a prime contractor. The position coordinates the lighting package from takeoff and quoting through submittal approval, purchasing, delivery, and project closeout. This is a hybrid estimating, procurement, and project coordination role requiring strong organization, attention to detail, and the ability to manage multiple stakeholders across several active projects.

WHAT YOU'LL DO Estimating & Quoting
  • Perform takeoffs from plans and specifications to determine lighting fixture quantities and scope.
  • Obtain competitive quotes from lighting distributors, wholesalers, and manufacturer reps.
  • Compile and organize pricing to build accurate cost estimates for bid or contract submission.
  • Evaluate quotes for completeness, accuracy, and alignment with project specifications.
Submittal & Procurement Management
  • Request, review, and coordinate lighting submittals with distributors and manufacturer representatives.
  • Confirm fixtures, finishes, quantities, and specifications align with approved quotes and contract documents.
  • Route submittals to the prime contractor and manage revisions through final approval.
  • Generate purchase orders from approved quotes and submittals and maintain accurate PO records in the company's ERP system.
  • Maintain organized project records connecting quotes, submittals, purchase orders, and related correspondence.
Logistics & Stakeholder Communication
  • Track lead times, production schedules, and shipment status with distributors/reps.
  • Communicate delivery schedules to the prime contractor and other project stakeholders.
  • Coordinate with onsite superintendents and project managers to schedule and confirm receipt of materials.
Customer Service & Issue Resolution
  • Serve as the primary point of contact for delivery issues, damaged/defective materials, and warranty matters.
  • Coordinate replacement or repair of damaged fixtures with distributors/manufacturers.
  • Maintain effective customer relationships throughout the project lifecycle.
Project Closeout
  • Coordinate required closeout and warranty documentation.
  • Ensure project records are complete and organized for final closeout.
WHAT YOU BRING EXPERIENCE & EDUCATION
  • Ability to read and interpret construction plans, specifications, and submittal documents.
  • Strong attention to detail and follow-through, particularly in cross-referencing quotes against submittals and specs.
  • Excellent written and verbal communication skills.
  • Proficiency with ERP/purchasing systems, spreadsheets, and document management tools.
  • Strong organizational and time management skills with the ability to manage multiple projects/deadlines concurrently.
  • Ability to build effective relationships with stakeholders.
  • Proficiency with Microsoft Office Suite, including Teams.
Preferred:
  • Experience in construction estimating, procurement, or project coordination โ€” lighting, electrical, or related building materials preferred.
  • Familiarity with lighting products, manufacturers, and industry terminology (fixtures, finishes, controls, etc.)
  • Prior experience working as a subcontractor-side coordinator reporting into a prime/GC relationship.
  • Experience with submittal/RFI workflow platforms (e.g., Procore, PlanGrid, Submittal Exchange.)
  • Estimating software experience (e.g., Bluebeam for takeoffs.)
PHYSICAL REQUIREMENTS

This position is primarily performed in an office environment with occasional travel. The role requires extended periods of computer work, and ongoing communication with both internal and external stakeholders. Occasional lifting may be necessary.
