Job Summary
This full-time position is a vital part of the Student Life team and provides support for the department of Residence Life. The Residence Life Secretary primarily assists the Dean of Student Life/Director of Residence Life, Residence Life staff, and assists with other Student Life departments as needed.

Essential Job Duties
Residence Life (Primary Responsibilities)
  • Serve as receptionist to the office of Residence Life by greeting visitors, warmly providing information, and directing visitors to other personnel as needed.
  • With the Assistant Director for Residence Life, assist with student housing communication, applications, and assignments, being involved in all steps of the process beginning with newly accepted students to when they no longer live on campus.
  • Help prepare for and facilitate the Residence Life aspect of New Student Move-In Day and the Residence Life orientation meeting.
  • Oversee Warmath Family Housing, Graduate Housing, employee housing, and intern housing initial inquiries, applications and check-in procedures.
  • Manage the Bowld Commons Reservations system.
  • Manage the Guest Suite Reservations calendar and cleaning schedule.
  • Coordinate the planning for Family Weekend, being available throughout the weekend to assist when needed.
  • Coordinate the planning of the annual Growing Healthy Relationships seminar, being available throughout the weekend to assist when needed.
  • Maintain the Residence Life website.
  • Prepare reports and correspondence as directed.
  • Compile list of groups/individuals requests for early arrivals to campus.
  • Process and maintain website for off-campus housing opportunities.
  • Process and maintain website for off-campus housing opportunities.
  • Submit work orders to Facilities Management as needed.
  • Work with University Services to design and print Residence Life materials.
  • Track and record housing and occupancy data.
  • Assist the Residence Directors with the planning and operations for the Rising High School Seniors program.
  • Assist the Dean of Student Life with office support, including communication, meeting requests, and other administrative assistance.

General Duties
  • Answer incoming calls and relay them to the appropriate office if there are further questions.
  • Respond to Residence Life email in a timely manner.
  • Prepare requisitions for Residence Life needs.
  • Occasional event support is need after regular office hours.
  • Other duties as assigned.

Required Qualifications
Graduation from an accredited college or university with a bachelor's degree.
