Position Summaryย
The Office Operations & Purchasing Coordinator is responsible for ensuring the smooth day-to-day operation of the office and the facility's administrative functions. This role supports front desk operations, indirect purchasing, vendor documentation, safety compliance support, and employee engagement activities.ย
This position serves as the first point of contact for visitors and plays a key role in maintaining an organized, professional, and well-functioning workplace.ย
This is an hourly role, working Monday through Friday.
Front Desk & Visitor Managementย
- Serve as the first point of contact for all visitors and guestsย
- Welcome visitors and ensure proper visitor sign-in and screening proceduresย
- Issue visitor badges and notify employees of arrivalsย
- Maintain a professional and organized lobby and reception areaย
- Assist with the coordination of customer visits and site toursย
Office Operationsย
- Maintain conference rooms, lobby, and shared office spacesย
- Ensure breakroom and office supplies are stockedย
- Manage incoming and outgoing mail, packages, and shipmentsย
- Coordinate with vendors for office services and facility supportย
- Assist with preparation and logistics for internal meetingsย
Indirect Purchasing & Supply Managementย
- Manage the purchasing of non-production items, including:ย
- Office suppliesย
- Breakroom suppliesย
- PPE and safety suppliesย
- General facility and administrative suppliesย
- Maintain inventory of frequently used suppliesย
- Work with accounting to ensure purchase orders and invoices are properly processedย
Vendor Administrationย
- Maintain vendor documentation, including:ย
- W-9 formsย
- Certificates of Insuranceย
- Vendor contact informationย
- Send and track annual vendor questionnairesย
- Assist with vendor onboarding and documentation requirementsย
Safety & Environmental Compliance Supportย
- Maintain and organize the company's Safety Data Sheet (SDS) libraryย
- Ensure SDS documentation is accessible and currentย
- Assist with chemical inventory trackingย
- Support labeling compliance and hazard communication documentationย
- Assist with waste tracking logs and usage calculationsย
- Support documentation needed for safety and environmental complianceย
Employee Experience & Company Eventsย
- Coordinate company events and employee engagement activitiesย
- Support logistics for company meetings and celebrationsย
Requirements
Qualificationsย
Education & Experienceย
- Associate's or Bachelor's degree preferredย
- 2-5 years of administrative, office management, or operations support experienceย
- Experience in a manufacturing or industrial environment is a plusย

Working Conditionsย

- Work is primarily performed in a seated office setting, with frequent use of a computer, phone, and standard office equipment.ย
- The employee will need to walk through the manufacturing floor to support administrative tasks, verify labeling, check SDS postings, or assist with operational needs.ย
- The manufacturing environment may include moderate noise levels, moving equipment, and varying temperatures, and appropriate personal protective equipment (PPE) may be required when entering production areas.ย
- The position may require lifting office or supply items up to approximately 25 pounds (such as office supplies, boxes, or event materials).ย
- This role requires the ability to manage multiple tasks simultaneously and respond to frequent interruptions typical of a front desk and office coordination position.
