We are seeking a detail-oriented, self-motivated professional for this Senior Administrative Assistant role. This position provides administrative support to multiple Qnity Science and Innovation teams and will be based at the Experimental Station in Wilmington, DE. Day-to-day responsibilities include managing schedules, coordinating communications, preparing documents, organizing information, supporting events, maintaining office supplies, assisting with financial processes, and helping ensure efficient office operations.

This is primarily an on-site role with some flexibility for occasional work from home days.

Key Responsibilities

  • Deliver comprehensive administrative support to facilitate smooth and efficient office operations.

  • Manage calendars and schedule meetings, ensuring all related logistics are handled seamlessly.

  • Maintain distribution lists, shared files, and spreadsheets used to track essential information.

  • Prepare routine communications and reminders to keep team members informed and organized.

  • Coordinate training sessions and staff meetings, ensuring arrangements are well organized and accessible to participants.

  • Assist with purchasing processes, travel arrangements, and office supply inventories to support daily operational needs.

  • Create and maintain SharePoint sites and related content to enhance collaboration and information sharing.

  • Support recruiting activities, including candidate communications, interview scheduling, and travel coordination.

  • Manage onboarding activities for new employees and contractors, including computer setup, workspace coordination, badge access, and IT assets.

  • Support the planning and execution of Qnity and team events, training sessions, and workshops.

  • Provide occasional backup support for executive administration, ensuring continuity and professionalism in high-priority situations.

Required Qualifications and Skills

  • 5+ years in an administrative support role

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Strong organizational skills and exceptional attention to detail

  • Ability to manage multiple priorities and meet deadlines

  • Professional written and verbal communication skills

Preferred Qualifications and Skills

  • Familiarity with Concur or other expense management systems

  • Knowledge of SAP-based ordering systems; capital purchasing knowledge is a plus

  • Background supporting meetings, training sessions, or events

  • Ability to maintain shared electronic files and document libraries, preferably using SharePoint or Teams

  • Comfortable managing distribution lists and recurring communications
