Job description

Osborne Company is a premier manufacturer’s representative in Northern California, Northern Nevada, and Hawaii. For 53 years, we have represented the most dynamic manufacturers in the plumbing and mechanical equipment industries. We are an established and expanding agency built around our people.

We are currently seeking a highly organized, detail-oriented Order / Data Entry & Logistics Coordinator to support our growing sales and operations team. This role serves as a critical link between order management, logistics coordination, manufacturer relations, and customer service.

The ideal candidate is dependable, process-driven, and comfortable working with data, logistics systems, and customer-facing communications. This position offers a long-term career path with opportunities to develop product expertise and advance into Inside Sales, Commercial Quotations, or other customer-focused roles.

Primary Responsibilities

Order Processing & Data Entry

  • Enter customer orders accurately into internal systems, ensuring correct product information, quantities, pricing, and shipping details.
  • Maintain and update CRM and RepFabric records with project information, opportunities, and manufacturer reporting data.
  • Organize and maintain digital records for orders, acknowledgments, confirmations, and project documentation.
  • Assist with product identification, part number verification, and the creation of new product records when needed.
  • Ensure order documentation is complete, accurate, and readily accessible.

Logistics Coordination

  • Coordinate shipments with manufacturers, vendors, and freight carriers to meet customer delivery requirements.
  • Monitor delivery schedules and proactively communicate updates regarding ship dates, delays, and order status.
  • Track shipments and provide timely status updates to customers, wholesalers, contractors, and internal teams.
  • Coordinate drop shipments, partial shipments, expedited deliveries, and special handling instructions.
  • Maintain thorough logistics documentation and shipment records.

Vendor & Internal Team Communication

  • Communicate with manufacturers and vendors regarding order status, lead times, shipping schedules, and freight issues.
  • Support Inside Sales by assisting with order-related inquiries and logistics follow-up.
  • Partner with Commercial Quotations, Inside Sales, and Operations teams to ensure smooth transitions from quotation to order fulfillment.
  • Coordinate with Business Development Engineers and Outside Sales personnel on project-specific order and delivery requirements.
  • Serve as a reliable point of contact for logistics and order management issues.

Administrative & Financial Support

  • Process and organize packing slips, shipping confirmations, proof-of-delivery documents, and related records.
  • Maintain organized manufacturer-specific documentation and digital filing systems.
  • Maintain organization of our manufacturer literature ordering, cataloging, and all aspects of our literature library.
  • Assist with monthly reporting and ensure CRM and reporting data remain accurate and complete.

  • Background in plumbing, HVAC, construction products, or industrial distribution industries.
  • Knowledge of product data management and inventory systems.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Effective written and verbal communication abilities.
  • Proficiency with Microsoft Office, particularly Outlook and Excel.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional demeanor and strong customer service orientation.
  • Ability to work collaboratively across multiple departments.

Salary Range:

  • Base Salary: $29 - $31.50/HR (Based on qualifications and experience) plus bonus compensation based on performance and company profitability.
