Job description

Chicago-Based | On-Site

The Role

Midwest Express Clinic is seeking a highly organized, hands‑on Digital Marketing Operations Manager to support the execution, oversight, and continued improvement of our digital marketing programs. This role combines paid media execution, campaign auditing, creative coordination, social media oversight, spend monitoring, agency and vendor management, and marketing project management. The ideal candidate is comfortable working directly inside digital advertising platforms, reviewing campaign performance, coordinating creative assets, monitoring organic social media activity, and managing multiple priorities simultaneously.

This person will work cross‑functionally with internal stakeholders and external partners to ensure marketing initiatives are executed accurately, consistently, and on time.

This is not a purely strategic or administrative position. The successful candidate will be expected to actively manage marketing execution, identify issues, recommend improvements, and keep projects moving from concept through completion.

What You’ll Own
Digital Campaign Execution

  • Support the day‑to‑day execution of paid and organic digital marketing campaigns

  • Build, manage, and review campaigns across Google Ads and Meta Ads Manager

  • Ensure campaigns launch accurately, on time, and in alignment with established objectives

  • Review campaign structure, targeting, audiences, geographic settings, creative, placements, and budget pacing

  • Conduct regular account and campaign audits to identify errors, inefficiencies, wasted spend, and opportunities

  • Monitor conversion tracking, pixels, tags, and platform configurations

  • Translate performance reporting into practical recommendations and tactical adjustments

  • Proactively identify new tests, tactics, and opportunities for improvement

  • Confirm that approved campaign changes are implemented correctly

Social Media Oversight

  • Oversee the execution and consistency of organic social media activity across relevant platforms

  • Review social media calendars, planned posts, creative assets, captions, and campaign messaging

  • Ensure social content aligns with brand standards, business priorities, and established objectives

  • Identify timely trends, educational topics, community stories, and content opportunities

  • Provide feedback on content quality, messaging, platform fit, and performance potential

  • Monitor social media performance, including reach, engagement, views, clicks, shares, and follower growth

  • Recommend adjustments based on audience response and platform performance

  • Coordinate with internal stakeholders and external partners to obtain needed information, approvals, photos, videos, or other assets

  • Help maintain a consistent, professional, and locally relevant digital presence

  • Monitor comments, messages, mentions, and audience sentiment, escalating concerns when appropriate

Creative Coordination

  • Manage creative projects from initial request through briefing, production, review, approval, and final delivery

  • Prepare clear creative briefs that communicate objectives, audiences, messaging, formats, and deadlines

  • Coordinate revisions between internal stakeholders, agencies, designers, and vendors

  • Review creative materials for accuracy, quality, brand consistency, compliance, and platform requirements

  • Provide constructive feedback on creative concepts and executions

  • Confirm that final assets are delivered in the correct formats and used in the intended campaigns

  • Maintain an organized library of approved creative assets

  • Identify opportunities to refresh, test, or repurpose existing creative across marketing channels

  • Help ensure there is sufficient creative variety to support testing and campaign optimization

Agency and Vendor Coordination

  • Serve as an internal point of contact for marketing agencies, vendors, and external partners

  • Track deliverables, deadlines, campaign launches, and open action items

  • Coordinate recurring meetings and follow‑up communications

  • Review reporting and ensure agreed‑upon initiatives are completed accurately and on time

  • Identify missed deadlines, execution issues, reporting discrepancies, or unclear recommendations

  • Maintain documentation of decisions, responsibilities, deadlines, and next steps

  • Escalate significant issues when leadership involvement is needed

  • Support vendor onboarding, invoice review, and related administrative processes

Spend Monitoring and Reporting

  • Monitor marketing spending and campaign pacing across active initiatives

  • Identify unexpected spending, underspending, overspending, or incorrectly allocated budgets

  • Review invoices and maintain accurate expense tracking

  • Maintain marketing dashboards, project trackers, and KPI scorecards

  • Prepare clear and concise performance updates

  • Help ensure reporting is accurate, consistent, and delivered on time

  • Partner with other departments on budgeting, forecasting, and deeper performance analysis

Marketing Project Management

  • Maintain centralized marketing calendars and project trackers

  • Coordinate multiple initiatives, locations, stakeholders, and deadlines simultaneously

  • Follow up proactively to keep projects moving

  • Identify missing approvals, delayed creative, tracking issues, and potential roadblocks

  • Communicate status updates clearly and flag items requiring attention

  • Create repeatable processes that improve organization, visibility, and execution

  • Help reduce the need for day‑to‑day oversight from senior leadership

Qualifications
Required

  • Bachelor’s degree in Marketing, Communications, Business, or a related field

  • Three or more years of relevant experience in digital marketing, paid media, marketing operations, or campaign execution

  • Hands‑on experience building, managing, and auditing campaigns in Google Ads and Meta Ads Manager

  • Experience reviewing campaign structure, targeting, creative, conversion tracking, and budget pacing

  • Ability to identify problems and recommend practical solutions

  • Excellent written and verbal communication skills

  • Proficiency with Microsoft Excel and PowerPoint

  • Ability to work independently in a fast‑paced environment

  • Ability to work on‑site in Chicago

Preferred

  • Strengthen the consistency and quality of digital and social media execution
