PROPOSAL WRITER
Are you curious about how businesses win new work? Do you enjoy digging into complex information, asking thoughtful questions, and finding the details others might miss? Are you persistent when tracking down answers, organized when managing competing priorities, and energized by challenging deadlines?
Rotolo Consultants, Inc. (RCI) is seeking a Proposal Writer who can turn information into opportunity. In this role, you will investigate what each client is asking for, bring the right people and details together, and develop clear, persuasive submissions that help RCI compete for new work.
This is a full-time, fully in-person position based at RCI's Slidell, Louisiana office.
AS A PROPOSAL WRITER
The Proposal Writer plays a key role in RCI's growth and procurement efforts by managing and developing competitive proposals, bids, qualifications packages, presentations, and other submission materials for public- and private-sector opportunities.
You will work closely with RCI's estimating, operations, business development, and leadership teams to interpret solicitation requirements, gather technical and organizational information, coordinate proposal development, and produce submissions built around the Three C's of effective proposal writing: Complete, Compliant, and Compelling.
Complete: Every requirement is addressed, every necessary detail is included, and the client has the information needed to fully evaluate RCI's qualifications and approach.
Compliant: Every solicitation instruction, evaluation criterion, required form, deadline, and submission requirement is identified and satisfied.
Compelling: The proposal goes beyond meeting requirements to clearly communicate why RCI is qualified, capable, and the right choice for the work.
This position is well suited for a curious, persistent, and highly organized writer and project coordinator who enjoys learning how things work, asking thoughtful questions, solving problems, and taking ownership of complex projects from start to finish.
PROPOSAL WRITER KEY RESPONSIBILITIES INCLUDE
Proposal Development: Write, edit, format, and produce proposals, bids, statements of qualifications, presentations, and related materials in response to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Invitations to Bid (ITBs), and other procurement opportunities. Develop submissions that are complete, compliant, compelling, responsive, and tailored to each client and solicitation.
Solicitation Review & Compliance: Review procurement documents to identify submission requirements, evaluation criteria, required forms, deadlines, and deliverables. Develop proposal outlines and compliance checklists, identify outstanding requirements, and ensure final submissions satisfy solicitation requirements.
Content Development: Translate technical, operational, and estimating information into clear and persuasive written content. Develop and maintain narratives describing RCI's experience, staffing, project approach, capabilities, qualifications, and past performance.
Proposal Coordination: Coordinate with estimating, business development, operations, leadership, and subject matter experts to obtain the information and materials required for each submission. Communicate responsibilities, requirements, and deadlines; follow up on outstanding information; and keep contributors aligned throughout the proposal process.
Proposal Management: Manage multiple proposal efforts simultaneously from initial solicitation review through final submission. Establish internal deadlines, prioritize competing deliverables, track outstanding items, organize proposal documentation, maintain version control, and ensure submissions are completed accurately and on time.
Editing & Quality Assurance: Review proposal materials for completeness, compliance, clarity, grammar, accuracy, consistency, and formatting. Perform final quality-control reviews before submission and ensure documents meet solicitation requirements and reflect RCI's professional and brand standards.
Document Design & Production: Format and prepare polished, professional proposal documents and presentations using Canva, Microsoft Word, PowerPoint, and other applicable tools. Coordinate written and visual content to create clear, organized, and visually effective submissions.
Research & Information Management: Research prospective clients, procurement requirements, project opportunities, and relevant industry information as needed to support proposal development. Maintain and organize reusable proposal content, project information, resumes, references, and other qualification materials.
Continuous Improvement: Help maintain and improve proposal templates, workflows, content libraries, and internal processes. Identify opportunities to improve efficiency, consistency, proposal quality, and collaboration across departments.
QUALIFICATIONS WE LOOK FOR
• Bachelor's degree in English, Communications, Marketing, Business, or a related field.
• Professional writing, editing, proposal development, technical writing, or related experience; experience in construction, landscaping, professional services, government contracting, or a related industry is preferred.
• Exceptional writing, editing, proofreading, and document-formatting skills with strong attention to detail.
• Natural curiosity and the ability to ask thoughtful questions, investigate unfamiliar topics, and learn quickly.
• Persistence and follow-through when gathering information, resolving open questions, and completing complex assignments.
• Ability to read and interpret detailed solicitation documents and translate requirements into organized proposal deliverables.
• Strong organizational and project-management skills, including the ability to manage multiple concurrent projects and competing deadlines.
• Strong research and analytical skills with the ability to gather, synthesize, and clearly communicate information from multiple sources.
• Excellent communication and interpersonal skills and the ability to collaborate effectively with employees across departments and levels of the organization.
• Ability to work independently, take ownership of assignments, and follow projects through completion.
• Advanced proficiency in Microsoft Word and proficiency with Microsoft Office applications, including Excel and PowerPoint.
• Proficiency with Canva and the ability to create and format professional, visually polished documents and presentations.
• Familiarity with proposal management, document management, or procurement platforms is a plus.
