Job description

Join NYCSBUS as a Training Assistant and help support
the training that keeps our students moving safely.
NYCSBUS is seeking a Training Assistant who will support the Training & Compliance Department in delivering high-quality training experiences for our School Bus Drivers, Attendants, and operational staff. In this role, you will coordinate training schedules, prepare classroom environments, maintain accurate training records, and assist in developing presentations and materials. You will also support the onboarding process by partnering with HR to ensure new hires complete all required training components.
This position will be a strong fit for someone who is detail-oriented, organized, and comfortable working with technology. As the Training Assistant, you will play an essential role in ensuring that every training session, both virtual and in person, is well-structured, compliant, and aligned with NYCSBUS's commitment to safety and excellence. This position reports directly to the Safety Director.

NYCSBUS (NYC School Bus Umbrella Services Inc.) is a not-for-profit corporation that provides school bus transportation services to New York City public and private school students, the majority of whom have Individualized Educational Programs. It operates more than 800 school bus routes throughout all of NYC with a staff of approximately 1,800 people from six locations with a budget of $218 million. NYSCBUS's goal is to radically improve student bus transportation by innovating in all areas and by providing unprecedented transparency in bus operations to school districts that outsource this service.
Key Work Responsibilities:
Training Coordination & Logistics
  • Schedule training sessions (virtual and in-person) for Drivers, Attendants, and other staff as directed.
  • Prepare classroom spaces, ensuring training materials, equipment, technology, and sign-in sheets are ready.
  • Coordinate trainee reminders, confirmations, attendance, and follow-up communications.
  • Maintain training calendars, rosters, and databases.
  • Assist in ensuring all training activities meet NYCSBUS, DOE, and DOT safety standards.

Instructional & Administrative Support
  • Assist in the preparation and completion of all required training documentation, including:

    • Attendance sheets
    • Pre- and post-tests
    • Evaluation forms
    • Certification forms
    • Onboarding documents

  • Create and maintain organized training files, digital and physical.
  • Support the development, printing, and distribution of training packets, handouts, and forms.
  • Assist with the setup and operation of AV/technology systems during classes.

Curriculum & Content Support
  • Assist with building and updating PowerPoint presentations, training guides, manuals, and handouts.
  • Support trainers in implementing curriculum for School Bus Driver Safety Training and School Bus Attendant Training.
  • Collaborate in revising or enhancing curriculum materials to ensure clarity, compliance, and consistency.

Multimedia & Technology Support
  • Assist in creating training videos, including recording, editing, and uploading content to approved platforms.
  • Maintain the organization of training video libraries and digital materials.
  • Support the setup of virtual classrooms (Zoom, Teams, Google Meet), breakout rooms, and remote learning features.

Onboarding & Interdepartmental Collaboration
  • Work closely with the HR Department to support onboarding for new Drivers and Attendants.
  • Coordinate training appointments for new hires and ensure all onboarding training elements are completed.
  • Provide status updates to HR regarding training completions, pending items, and compliance requirements.

Quality & Compliance
  • Ensure all required training documents are complete, accurate, and submitted in a timely manner.
  • Maintain compliance logs for regulatory or state-mandated training requirements.
  • Assist in preparing materials for internal reviews, audits, and DOE/DOT evaluations.

Additional Responsibilities
  • Maintain inventory of training supplies and coordinate re-ordering.
  • Provide customer-service-oriented support to trainees and staff with training questions.
  • Assist in coordinating training-related events, refresher sessions, safety meetings, and annual compliance days.
  • Support data entry, reporting, and preparation of training metrics for management.
  • Perform other related duties as assigned to support the Training & Compliance Department.

Qualifications | Job Competencies
  • Eligible to work in the U.S.
  • Associate's Degree, Bachelor's Degree preferred
  • Minimum 2-5 years of administrative, training support, or office coordination experience.
  • Bilingual (English/Spanish) preferred but not required.
  • Strong proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).
  • Ability to learn and use training platforms and video editing software.
  • Strong organizational, record-keeping, and time-management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Strong interpersonal skills with the ability to support staff at all levels.
  • Ability to set up classroom technology and troubleshoot basic AV issues.

Compensation & Benefits
  • Hourly Rate: $25.00 - $28.00
