Design Assistant

Position Summary:
We are seeking a highly organized and detail-oriented Design Assistant to support our design and project teams with administrative, technical, and project coordination tasks. This role is ideal for someone who enjoys both office administration and design-related work, including CAD drafting, document management, and material/sample coordination.

NuZine is a commercial Interior Design and Project Management Firm specializing in 50,000 square feet and less throughout the 5 boroughs.  We provide full design and management services for landlords and end users for multiple industries including educational, hospitality, fashion, corporate, retail and capital improvements.   Some of our clients include Fordham University, Related Management, Structure Tone and Balloon Kings.

Key Responsibilities:
Administrative & Project Support:
  • Prepare and distribute meeting agendas and minutes.
  • Scan, organize, and archive field notes and project documentation.
  • Upload and maintain project files on company server.
  • Create and maintain project binders and documentation packages.
  • File and organize physical project records.
  • Maintain well-structured digital project folders and filing systems.

CAD & Technical Support:
  • Draft existing conditions and project drawings using AutoCAD software.
  • Assist with construction document (CD) production and quality control.
  • Review CAD drawings to ensure proper layering, scaling, formatting, and consistency.
  • Support drawing revisions and document updates as directed by the design team.

Materials & Product Coordination:
  • Organize, label, and maintain project sample libraries and material boxes.
  • Order material, finish, and product samples as needed.
  • Monitor inventory, date accordingly, and replace missing or outdated samples.
  • Maintain standard specification folders, including appliances, plumbing fixtures, accessories, and related products.
  • Download and organize manufacturer cut sheets, specifications, and product images using established filing standards.

Document Management:
  • Ensure project information is accurately stored, labeled, and accessible.
  • Maintain organized digital records of materials, specifications, and project documentation.
  • Assist with project closeout documentation and archiving.

Qualifications:
  • Proficiency in AutoCAD required.
  • Strong organizational and administrative skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency with Microsoft Office, Excel, AutoCAD and digital file management systems.
  • Experience in drafting, interior design, construction, or a related field is preferred.
  • Strong communication and team player.
