Position Description

GBI has always maintained that our employees are our greatest asset, and we are now seeking to add to our team. We are looking for a Proposal Coordinator to join our team based in offices in either Livermore, CA; Sacramento, CA, Portland, OR, Wenatchee, WA or Maple Valley, WA.
Position Summary
The Proposal Coordinator works closely with the marketing team, estimators, project managers, engineers, and company leadership to develop high-quality proposals and pursuit materials. This role supports the pursuit process from kickoff through final submission, helping ensure each deliverable is accurate, compliant, visually engaging, and aligned with the overall pursuit strategy.
This position is well suited for a proactive, detail-oriented self-starter who takes ownership of their work and thrives in a fast-paced, deadline-driven environment. Success in this role requires curiosity, initiative, strong communication and organizational skills, and a willingness to learn. We are looking for someone who is eager to grow, contribute meaningful ideas, and become a trusted member of the pursuit team.
Position Description
Proposal Management and Business Development (75%-85%)
  • Support the development of qualifications packages, proposals, presentations, interview materials, and other pursuit deliverables, while taking ownership of assigned pursuits and tasks.
  • Coordinate with operations teams, estimators, engineers, project managers, and company leadership to gather information for proposals and marketing materials.
  • Draft, edit, proofread, and format proposal content using information provided by technical subject matter experts.
  • Review RFQs, RFPs, and other procurement documents to identify requirements, deadlines, evaluation criteria, and submission instructions.
  • Develop detailed compliance matrices to support complete, accurate, and responsive submissions.
  • Assist with proposal kickoff meetings, action-item tracking, schedule management, and document coordination throughout the pursuit process.
  • Gather, organize, and maintain project information used to develop project profiles, staff resumes, organizational charts, project descriptions, and other pursuit-specific content.
  • Develop graphics, exhibits, and visual materials that communicate technical information clearly and strengthen pursuit messaging.
  • Maintain proposal content libraries, project databases, resume files, and other marketing resources.
  • Perform quality-control reviews to confirm accuracy, consistency, compliance, and adherence to company standards.

Marketing and Communications (15%-25%)
  • Support company marketing initiatives by developing and maintaining internal and external marketing materials.
  • Assist with maintaining the company website, project profiles, and other digital marketing resources.
  • Help collect, organize, and publish company news, project milestones, and employee announcements through internal communication channels.
  • Assist with company events, conferences, recruiting efforts, and community outreach activities.
  • Coordinate with marketing team members across regions to support department initiatives and priorities.
  • Assist with special projects and other marketing, business development, or communications activities as needed.

Position Requirements
Required Education, Experience, and Technical Knowledge
  • Candidates must have the legal right to work in the US without employer sponsorship.

Experience
  • 1-2 years of experience in marketing, proposal coordination, communications, business development support, or a related field.
  • Experience in the architecture, engineering, or construction industry is preferred but not required.

Education
  • Bachelor's degree in Marketing, Communications, Public Relations, English, Journalism, Business, or a related field.

Certifications and Licenses
  • Valid driver's license with a clean driving record required.
  • Must be willing and able to visit project sites, attend industry events, and participate in occasional off-site meetings.

Technical Skills
  • Proficiency with Microsoft Office, including Word, PowerPoint, Excel, and Outlook.
  • Experience with Adobe Creative Suite, particularly Adobe InDesign, required.

  • Strong writing, editing, proofreading, and document-formatting skills.
  • Highly organized, with the ability to manage multiple deadlines, priorities, and assignments simultaneously.
