Job description

Netsimco, a Saalex Company is seeking an Administrative Assistant in Newport, RI.  Saalex Corp., is an Engineering and Information Technology Services company with a focus on Test Range Operations and Management, Engineering and Logistics Services, Data Analytics and Business Intelligence Services and Information Technology Services.

Position Type: Full-Time

Salary: $50k-$55k annually (depending on experience)

Work Location: Full-time onsite.

The Administrative Assistant provides essential administrative and operational support to the College of Maritime Operational Warfare (CMOW). The position supports faculty, staff, military officers, and students by managing daily administrative activities, coordinating schedules and communications, and ensuring the efficient operation of departmental functions. This role requires a high degree of professionalism, attention to detail, and the ability to work effectively within a military academic environment.

Essential Functions:

  • Provide administrative services in word processing, spreadsheet development, budget analysis, report processing, brief preparation, and schedule management
  • Provide general administrative support to CMOW leadership, faculty, and staff.
  • Manage calendars, schedule meetings, and coordinate conference rooms and virtual meeting platforms.
  • Prepare, format, and distribute correspondence, memoranda, reports, and briefing materials.
  • Assist faculty with course-related administrative needs, including meeting record keeping, management of milestone schedules, and material preparation.
  • Serve as a point of contact for students, faculty, and staff regarding routine administrative questions.
  • Assist with travel arrangements, authorizations, and reimbursement documentation in coordination with appropriate administrative offices.
  • Support logistics for departmental meetings, seminars, workshops, and events.

Requirements

Required:

  • Demonstrated experience in an administrative, executive support, or office support role.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Ability to work effectively with military officers, government civilians, faculty, and students.
  • Administrative Assistants must have Defense Travel System User training/certification.

Education:

  • High school diploma or equivalent required. Associate's or Bachelor's degree preferred.

Security Clearance:

Must be eligible to obtain a Secret clearance. Requirements to obtain a clearance include US Citizenship, security investigation, etc.
