About the Role

Liberty Grove Schools is seeking a School Operations and Front Office Assistant to provide administrative support to the Front Office Manager, school administrators, and the school’s main office. This team member will assist students, families and staff in English and Spanish, as a key part in maintaining a supportive environment for our students. Must be able to work independently and collaboratively. Please see below for additional details and join our LGS team as we grow!

ESSENTIAL DUTIES

  • Serve as a point of contact for families, students, and visitors in person and over the phone in both English and Spanish
  • Greet school visitors and provide information and assistance in both English and Spanish, while maintaining building security procedures
  • Perform general clerical functions, including handling incoming phone calls, copying, and faxing
  • Generate memos, emails, and reports, as needed
  • Assist with student attendance and late passes
  • Assist classroom teachers in field trip coordination, securing transportation, lunch and venue fees
  • Organize and file confidential staff and financial documents
  • Schedule meetings with vendors and contractors, as needed
  • Serve as the liaison between vendors and contractors, as assigned
  • Assist with the onboarding paperwork and background checks of new employees
  • Ensure new employee paperwork and required licenses are retrieved and tracked
  • Communicate with employees regarding any missing documentation for emergency licenses and IDOE compliance
  • Maintain a system for inventory, ordering and tracking classroom and office supplies
  • Assist with tracking and entering required documents in the OEI system
  • Prepare and enter required School Nutrition information for reimbursement
  • Serve as the expert for School Nutrition Community Eligibility Provision (CEP)
  • Assist the Director of Operations with operational tasks, as assigned


QUALIFICATIONS

  • Fluent in English and Spanish (required)
  • High school diploma or equivalent required
  • Some college (preferred)
  • Experience in administrative support or operations roles, preferably in an educational setting
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively
  • Excellent written and verbal communication skills in English and Spanish
  • Able to quickly learn to use new technology systems
  • Detailed-oriented and problem-solver
  • Ability to work effectively with a variety of stakeholders, including students' parents and families
