Job Summary
The Event Dispatcher for Food & Beverage Operations serves as the central communication hub for all food & beverage related needs during events. This role is responsible for receiving incoming calls from the command center, triaging requests, and dispatching the appropriate F&B team members to ensure timely and efficient service delivery.
This individual plays a critical role in maintaining seamless operations across premium, concessions, culinary, and warehouse teams by coordinating responses, tracking requests, and communicating updates to leadership. In addition to real-time event support, the Event Dispatcher is responsible for administrative and clerical functions including reporting, documentation, and maintaining operational logs.
Event Operations & Dispatching
• Serve as the primary point of contact for all incoming food & beverage service calls through the command center during events
• Assess and prioritize requests based on urgency, location, and operational impact
• Dispatch appropriate F&B personnel (management, culinary, concessions, premium, warehouse, etc.) to respond to service needs
• Monitor response times and ensure follow-through until resolution
• Provide real-time updates to callers and leadership on status of requests
• Escalate urgent or high-impact issues to appropriate management immediately
Administrative & Reporting Duties
• Maintain detailed logs of all incoming calls, requests, dispatch actions, and resolutions
• Prepare post-event reports summarizing call volume, response times, trends, and key issues
• Track recurring operational challenges and provide insights to leadership
• Maintain and update pass-down logs to ensure continuity between events
• Document and report urgent or escalated matters to management in a timely manner
• Assist with compliance tracking, audit preparation, and operational documentation as needed
Operational Support
• Assist with staffing coordination and communication during large-scale events or peak periods
• Participate in pre & post-event debriefs to identify opportunities for improvement
Qualifications
• Experience in a high-volume venue such as an arena, stadium, or large-scale event operation strongly preferred
• Excellent communication and interpersonal skills
• Ability to multitask, prioritize, and remain composed in a fast-paced, high-pressure environment
• Strong organizational and administrative skills with attention to detail
• Proficiency in Microsoft Office (Excel, Word, Outlook) and operational systems (e.g., Smartsheet or similar tools preferred)
