Description
Performs complex clerical work relating to a specific function or program requiring specialized knowledge and involving frequent and responsible contacts. Clerical duties require the ability to perform skilled keyboarding using a computer.
CURRENT VACANCIES: Various opportunities exist for permanent and substitute (on-call/temporary) assignments. Positions may be at various locations throughout the district boundaries (Glendale, La Crescenta, or Montrose). Positions are 8 hours per day, and 10-12 months per year.
TYPING CERTIFICATE REQUIRED FROM ALL APPLICANTS: MINIMUM 40 NET WORDS PER MINUTE WITH 80% ACCURACY. Please see special instructions below.

-Plans, schedules, and performs complex clerical work relating to the specialized function or program to which assigned.
-Conducts transactions with school personnel or the public in matters requiring a detailed knowledge, interpretation, and application of rules, procedures, policies, and precedents.
-Prepares documents based on data obtained from records and other sources and processes them in accordance with prescribed procedures.
-Compiles information for reports and transactions and assists in the consolidation and presentation of data.
-Maintains a system of files and records; establishes and maintains systems to ensure accountability and controls; enters or extracts information on or from records using a computer terminal.
-Coordinates work with Educational, Technology and Information Services in applying procedures and controls.
-Composes correspondence and prepares reports independently or from oral instructions.
-Types correspondence from rough drafts, marginal notes, verbal instructions, or recorded dictation.
-Initiates general clerical procedures and develops recommendations regarding such areas as forms and reports, schedules, filing systems, and flow of information.
-May handle confidential information.
-Performs related duties as assigned.
Employment Standards
Minimum Requirement:
-Two years of recent, increasingly responsible clerical work which has involved skilled keyboarding.
- Ability to type/keyboard accurately at a speed not less than 40 net words per minute and with 80% accuracy.
Desirable:
Written and oral proficiency in a second language.
TYPING CERTIFICATE REQUIREMENTS: 40 NET WORDS PER MINUTE WITH MINIMUM 80% ACCURACY.
Applicants for positions that require keyboarding skills must submit a typing certificate to demonstrate they meet the minimum requirements of the position. This includes all promotional applicants. Scan and attach certificate to the online employment application. Certificates must meet the following conditions:
Self-administered online/Internet test scores and certificates are not acceptable. Acceptable examples would be from a government agency, an employment/temp agency, a business college, an adult school, or a public school system. Certification may be in the form of a certificate, letter, or a form and must clearly state the following:
1. Name, address, telephone number of issuing agency and name and signature of person certifying the results.
2. Name of applicant.
3. Date of test. The test must be dated within two years of the application filing date.
Certificates older than two years are not accepted.
4. Gross typing speed; net speed; and number of errors or percentage of accuracy must be shown on certificate.
5. Duration of test in minutes.

A review of applicants' experience and qualifications will be conducted. Based on that evaluation, a limited number of top-qualifying applicants whose qualifications best meet the current needs of the District will be invited to participate in the next step of the examination process. The examination may include a written test and will include a qualifications appraisal interview. Qualified candidates will be provided with more details prior to the start of the examination process.
Probationary Period: 130 days of paid service.
Salary: The listed salary rates represent the first and last steps of the salary range. Permanent employees may earn higher rates upon successful completion of the probationary period (130 days of paid service) and may receive merit increases each year up to the maximum amount. Substitute positions are paid a fixed hourly rate.
Prior to employment, a candidate must submit proof of freedom from tuberculosis. Also required after an offer of employment are a pre-employment physical exam (district-paid) and fingerprint clearance with the Department of Justice.

Benefits for permanent employees who work 4 or more hours per day include medical, dental, vision and life insurance.
Salary: The beginning and ending salary steps are shown on each examination announcement. Permanent employees with satisfactory service receive salary increases upon completion of their probationary period and at one-year intervals thereafter, up to the maximum rate.
Holidays: Regular classified employees are entitled to pay for authorized holidays, provided they were in a paid status during any portion of the working day immediately preceding or succeeding the holiday.
Sick Leave: One day of sick leave earned per month, accumulation is unlimited.
Retirement: All new employees who work half time or more must become members of the California Public Employees Retirement System and the Federal Social Security program. Contributions are withheld from salary. Employees may become eligible for retirement at age 50 with a minimum of five years service.

Examination Process: A review of the applicants' experience and qualifications will be conducted. Based on that evaluation, a limited number of applicants whose qualifications best meet the current needs of the district will be invited to participate in the next step of the examination process. The examination process will consist of one or more related test parts covering any subject matter appropriate to the duties of the position. Qualified applicants will be advised of the test components and weights prior to the administration of the first test part.
Eligibility List: Candidates successfully completing all phases of the application and examination procedure will be ranked on the appropriate eligibility list according to their total examination scores. This list is normally in effect for one year.
Classification: When a vacant position is to be filled, the top three reachable ranks from the eligibility list are contacted for employment interviews. The supervisor of the vacant position will interview those candidates and may make a selection from any one of them. Depending on the vacancy, current employees in the same classification who have a transfer request on file, may also be interviewed. New employees must serve a six-month or one-year probationary period, depending on the classification involved.
Fingerprint Requirement: California state law requires that all classified employees be fingerprinted. Candidates are responsible for paying the fees.
Certificate of Tuberculosis Examination: New employees must furnish proof that within the last 60 days they have had a Mantoux tuberculin skin test.
Accommodation: In compliance with the Americans with Disabilities Act, applicants with disabilities may request that reasonable accommodation be given related to the actual examination process. Requests must be made at the time of application.
Physical Examination: Employees must be physically and mentally able to perform the essential duties of the position without hazard to themselves or others. As a condition of employment, all prospective new hires must receive District approval relating to their fitness to work based on a physical examination. Tests must be given by a District-approved physician.
Mandatory Child Abuse Reporting Training (AB1432): As a state requirement, all prospective employees of the district are required to complete the Mandated Reporter Educators Training course, prior to their start date of employment. The training must also be completed annually thereafter.
Veterans Preference: Five additional points of credit are added in entry-level examinations to the final passing score of qualified veterans showing 30 days or more service during time of war (10 points for disabled veterans) upon presentation of proof of veterans' status (Form DD-214). This evidence must be presented during the examination procedure. No credit will be given after this period.
Reminder: All current employees are reminded that in order to promote, an application must be filed during the filing period, tests must be taken, and passed. Permanent employees interested in a transfer must file a transfer request form.
