Job description

Description:

Hand Arendall Harrison Sale is seeking an organized, detail-oriented Legal Secretary to provide dedicated administrative support to a team of two to three attorneys in our Mobile office. This is a full-time, in-person position and is not part of a pooled support team.


Key responsibilities include:

  • Preparing, formatting, proofreading, and filing legal documents and correspondence 
  • Completing electronic court filings and monitoring applicable deadlines 
  • Maintaining attorney calendars and scheduling meetings, depositions, and travel 
  • Organizing case files, trial materials, document indexes, and closing files 
  • Entering attorney time and assisting with billing-related administrative tasks 
  • Handling telephone calls, mail, client communications, and conference-room preparation 
  • Conducting basic legal research and assisting with litigation support, as requested 
  • Maintaining confidentiality and providing professional service to clients, attorneys, and staff 
  • Assisting other legal support staff as workload permits 

Qualified candidates should have strong organizational, communication, proofreading, and technology skills, including proficiency with Microsoft Office and legal document-management, calendaring, timekeeping, and electronic-filing systems. Experience with Aderant is preferred but not required. Prior legal-secretarial or legal-assistant experience is strongly preferred.

Requirements:

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters. Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.
  • Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to proofread typed material for grammatical, typographical or spelling errors.
  • Interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.

  • Work occasionally requires a high level of mental effort and strain while producing a high volume of information performing other essential duties.

TYPICAL PHYSICAL NEEDS:

Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. May need to climb stairs, ladders and/or scaffolding and lift up to 30 lbs.
