Job description

We are looking for a detail-oriented Legal Secretary to support a growing litigation practice in San Francisco, California. This position will provide day-to-day administrative and document support to three law clerks and associates, with the potential to assist additional legal staff as needs evolve. The ideal candidate brings strong organizational skills, sound judgment, and the ability to manage competing priorities in a fast-paced legal environment.
Responsibilities:
• Prepare, proofread, and format litigation documents, correspondence, discovery materials, and other legal paperwork before filing or distribution.
• Draft routine legal documents such as pleadings, memoranda, notices, subpoenas, and court-related forms using firm-approved software and templates.
• Submit filings in state and federal courts, including electronic filings, while ensuring compliance with applicable procedural requirements.
• Manage attorney calendars by tracking hearings, meetings, deadlines, and follow-up items to help the legal team stay ahead of key case obligations.
• Coordinate court date reservations and communicate with court personnel as needed to secure hearing availability and confirm scheduling details.
• Organize and maintain case records in document management systems, including saving, scanning, and indexing incoming legal and case-related materials.
• Support litigation logistics by assembling binders for depositions, trials, and hearings, and by arranging meeting spaces and visitor notifications when required.
• Review vendor billing information and prepare related payment or submission documentation in accordance with attorney direction and internal procedures.
• Provide backup administrative assistance to other team members and take on additional support tasks based on attorney and case needs.• Prior experience in a legal secretary or litigation support role within a law firm or legal department.
• Working knowledge of court filing procedures, including electronic filing in state and federal jurisdictions.
• Strong calendar management skills with the ability to monitor deadlines and prioritize multiple assignments effectively.
• Proficiency in proofreading, formatting, and preparing legal documents with a high degree of accuracy.
• Experience using document management and legal productivity tools, such as Adobe Acrobat and similar court forms software.
• Ability to handle confidential information with professionalism and discretion.
• Strong written communication and organizational skills in a deadline-driven environment.
• Familiarity with dictation and general administrative support for attorneys is preferred.
