The Program Operations & Project Manager leads the execution of high-impact programs, webinars, events, and cross-functional initiatives. This is an operations and project management position-not a traditional marketing role. Marketing experience is helpful, but the primary focus is building scalable processes, coordinating teams, using modern SaaS technology, and delivering projects that increase engagement, customer conversion, and revenue.
This role partners with executive leadership, subject-matter experts, and teams across Operations, Marketing, Sales, and Community. The position manages multiple workstreams simultaneously and is accountable for scope, schedules, budgets, quality, resources, and measurable outcomes. The role does not initially have direct reports.
Responsibilities
  • Lead programs, webinars, and operational projects from initial concept through completion and post-project analysis.
  • Own the webinar execution SOP, including project planning, technology setup, registration workflows, speaker coordination, rehearsals, live-event execution, follow-up campaigns, and conversion reporting.
  • Manage project scope, timelines, budgets, dependencies, resources, and deliverables to ensure successful, on-time execution.
  • Partner with leadership and internal stakeholders to establish project goals, KPIs, conversion targets, and success criteria.
  • Coordinate cross-functional work among Operations, Sales, Marketing, Community, Creative, and Technology teams.
  • Use project management, CRM, webinar, and automation platforms to create efficient, scalable workflows.
  • Facilitate project meetings, document decisions, assign action items, and maintain accountability across teams.
  • Identify project risks, resolve roadblocks, and develop contingency plans that keep initiatives moving forward.
  • Ensure programs and projects deliver a consistent, high-quality customer experience aligned with company objectives.
  • Track webinar and program metrics, including registration, attendance, engagement, conversion, revenue, and follow-up performance.
  • Identify opportunities to improve processes, technology, documentation, and operational efficiency.
  • Manage external vendors, technology partners, speakers, and service providers.
  • Create and maintain SOPs, project documentation, dashboards, workflows, and performance reports.
  • Support and mentor coordinators or other project contributors as the team grows.
  • Perform additional responsibilities as assigned.

Skills and Qualifications
  • Bachelor's degree in Business Administration, Operations, Project Management, Marketing, Communications, or a related field preferred.
  • 5+ years of experience in program management, project management, business operations, or a related function.
  • Experience working in real estate, education, consulting, coaching, or a similar knowledge-based business strongly preferred.
  • Demonstrated understanding of the full webinar customer journey, including registration, attendance, presentation flow, calls to action, follow-up, and conversion.
  • Experience supporting webinars designed to generate leads, sell products or services, and produce measurable revenue.
  • Strong knowledge of modern SaaS platforms, automation tools, CRM systems, and digital workflows.
  • Proficiency with tools such as Monday.com, Google Workspace, webinar platforms, CRM systems, reporting tools, and marketing automation software.
  • Proven ability to coordinate multiple cross-functional projects in a fast-paced, evolving environment.
  • Strong operational mindset with the ability to create repeatable processes and improve existing SOPs.
  • Excellent organizational, prioritization, communication, and stakeholder-management skills.
  • Ability to interpret performance data, build reports, and recommend improvements based on project outcomes.
  • Marketing experience is helpful, but this position is primarily focused on operations, program execution, webinar performance, and project management.
  • Strong attention to detail, sound judgment, and the ability to remain focused under pressure.
