The New Jersey office of a multinational law firm is seeking a polished and detail-oriented Legal Administrative Assistant / Paralegal Coordinator to support Partners and Associates within a fast-paced legal environment. This hybrid administrative and paralegal support role offers the opportunity to work closely with attorneys on day-to-day legal operations while contributing to the overall efficiency of the practice group.
The ideal candidate is highly organized, proactive, and capable of managing multiple priorities while maintaining professionalism and confidentiality. This position is well-suited for a legal support professional who enjoys balancing administrative responsibilities with substantive legal support in a collaborative, team-oriented environment.
Key Responsibilities โ Legal Administrative Assistant / Paralegal Coordinator
- Provide comprehensive administrative, organizational, and document support to Partners and Associates across the practice group
- Assist attorneys with coordinating daily workflow activities, client matters, and ongoing case-related responsibilities
- Draft, revise, format, and proofread legal documents, correspondence, reports, and presentations with strong attention to detail and accuracy
- Manage attorney calendars, scheduling, travel arrangements, meetings, and deadline coordination
- Coordinate client communications and provide professional client service support as needed
- Handle attorney expense reports, time entry, billing-related administrative tasks, and other operational support functions
- Answer and manage attorney phone lines, screen calls, relay messages, and respond to inquiries appropriately
- Open, maintain, and close client files while ensuring proper organization and handling of legal and administrative records
- Maintain confidentiality of sensitive client and firm information at all times
- Assist with special projects, ad hoc assignments, and additional legal administrative support responsibilities as requested
- Collaborate with attorneys, administrative staff, and firm departments to support efficient office operations and workflow management
Qualifications โ Legal Administrative Assistant / Paralegal Coordinator
- Bachelorโs degree preferred
- 3+ years of legal administrative assistant, legal secretary, or paralegal experience within a law firm environment
- Strong ability to prioritize assignments, manage deadlines, and work effectively in a fast-paced professional setting
- Excellent written, verbal, and interpersonal communication skills
- Ability to exercise discretion and maintain confidentiality with sensitive legal matters and client information
- Strong analytical, organizational, and problem-solving abilities
- Advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Ability to work collaboratively and professionally with attorneys, clients, and staff at all levels of the organization
- Detail-oriented mindset with the ability to adapt to changing priorities and operational needs
