Job Description:

The Legal Operations Assistant provides essential administrative and operational support to the Agency Privacy Officer and Privacy Office, playing a pivotal role in coordinating processes related to HIPAA, privacy investigations, and regulation promulgation. This position supports leadership and attorneys in managing extensive and complex projects, confidential communications, timely workflows, and accurate documentation. The role balances direct administrative tasks, such as calendar and email management, meeting preparation, and task tracking, with broader program support responsibilities, including file management, due date monitoring, and internal communication coordination. Success in this position requires strong organization, discretion, and the ability to navigate a fast-paced, detail-oriented environment with shifting priorities and high-impact responsibilities. The ideal candidate will be a proactive team player with strong communication skills and a desire to grow within the office.
This is an on-site position (5 days a week) at the Nebraska State Office Building in Lincoln.

Key Responsibilities

  • Coordinate and manage the day-to-day administrative operations for the AgencyPrivacy Officer and thePrivacy Office, ensuring deadlines, workflows, and priorities are met.
  • Support leadership and department attorneys with calendar management, meeting coordination, and task tracking.
  • Project manage privacy incidents, investigations, and work projects ensuring appropriate handling of confidential information and documentation related to HIPAA,privacyinvestigations, and regulation promulgation.
  • Organize and maintain case and project files, ensuring all necessary information is received, stored, and reviewed; track the status of all incidents and investigations to ensure timelines are met; prepare status memos for incidents and investigations; and ensure the proper storage, version control, and timely updates to all files.
  • Assist withprivacyinvestigations,privacyreporting, and training initiatives.
  • Prepare, distribute, and track communications and requests using established tools and processes.
  • Act as a liaison between thePrivacy Office and internal/external partners to facilitate timely responses and workflow efficiency.

Requirements/ Qualifications

Minimum Qualifications: Associate degree in public or business administration, accounting, or any discipline related to the work assigned. One year of experience in administrative, business management or technical support work including collecting and interpreting statistical, financial, program, or administrative data; or interpreting laws, rules, regulations, and processes. Experience may substitute for education on a year-for-year basis.

Preferred Qualifications:

  • Bachelor's degree or higher in Public Administration, Legal Studies, Business Administration, or a related field.
  • Three (3) or more years of experience supporting or managing operational or administrative programs within a legal, compliance, or government environment.
  • Strong organizational skills and experience managing cross-functional projects or process improvement initiatives.
  • High degree of professionalism and discretion when handling confidential or sensitive information.
  • Proven ability to communicate effectively with management, executive leadership, and external stakeholders.
  • Excellent problem-solving skills and effective decision making.
  • High attention to detail and accuracy.
  • Experience with CLIO, PolicyTech,OnBase, or similar document management systems.
  • Proficient in Microsoft Office, including Excel, Word, Outlook and PowerPoint.

This role does not have hybrid or remote work. Must report to the NSOB in Lincoln, no other office locations available.
