Job description


Job Summary
Vulcan Materials Company is seeking a detail-oriented Legal Administrative Assistant with proven experience supporting a legal team in a fast-paced environment. This role is responsible for overseeing e-billing and financial workflows, administering contract lifecycle software, and supporting corporate compliance initiatives.
The ideal candidate brings a blend of technical adaptability, exceptional communication skills, and sound judgment when managing confidential information.
Essential Functions
Support the Company's Compliance Program. Assist with the preparation, maintenance, and enforcement of Company policies, prepare reports to senior management regarding the program, and prepare training materials based on Company policies. Candidates with appropriate experience or who demonstrate an aptitude for compliance work will have room to grow within this role.
Manage E-Billing, Invoices & Financial Workflows. Oversee law firm and vendor invoice approval workflows using Enterprise Legal Management (ELM) platforms (e.g., Legal Tracker, SimpleLegal) and internal ERP systems (Oracle). Ensure accurate accounting codes, track spend analytics, and maintain timely payment processing.
Manage Legal Contracts & Lifecycle Systems. Administer the department's Contract Lifecycle Management (CLM) system for vendor, organizational, and subscription agreements. Assist with intake routing, digital metadata tagging, e-signature execution (e.g., DocuSign).
Data Visualization & Executive Reporting. Prepare PowerPoint presentations, executive decks, and report graphics by analyzing and incorporating operational data from Excel.
Manage Service of Process Procedure. Manage the service of process procedure on the Company's behalf, including notifying the responsible internal attorneys and ensuring appropriate business units are apprised of litigation.
Maintain Company Knowledge. Maintain a working knowledge of the Company, its operating divisions, its subsidiaries, its procedures, and key internal client contacts. Stay abreast of any changes in Legal Department procedures.
Provide Administrative Support. Perform clerical tasks as needed. Organize calendars and schedules for the department. Process expense reports and manage meeting and travel arrangements.
Responsibilities
Education
Four year college degree preferred, or equivalent professional experience/Paralegal or Legal Operations Certificate.
Experience
3 years of relevant experience in a corporate legal department, law firm, legal operations team, or compliance function within a corporate environment. Candidates without a college degree should have more-significant experience.
Abilities
Technology Skills. High proficiency in Microsoft 365 (Word, Excel, PowerPoint). Proficiency in Google Mail and Google Calendar is a plus. Direct experience or strong familiarity with enterprise legal software, Enterprise Resource Planning (ERP, e.g., Oracle/SAP), and document management systems is strongly preferred. High adaptability to quickly learn and adopt emerging technologies.
Writing Skills. Exceptional written communication, editing, and grammar skills. Strong attention to detail when drafting legal documentation and executive correspondence.
Interpersonal Skills. Outstanding interpersonal skills with a polished, professional demeanor. Demonstrated ability to communicate effectively, build trust, and collaborate seamlessly across virtual and in-person teams across all levels of an organization.
Time Management Skills. Proven ability to prioritize competing deadlines, solve problems proactively, and deliver accurate work under pressure in a fast-paced environment.
Confidentiality. Strict adherence to confidentiality standards when handling sensitive company data, intellectual property, and privileged legal matters. Demonstrates high ethical standards, sound judgment, and discretion at all times.
