Job Description:

Addison Group is partnering with a leading law firm to hire an experienced IP Legal Assistant to support a busy Intellectual Property practice. This role is ideal for a detail-oriented legal professional with experience handling patent and trademark matters who enjoys managing deadlines, coordinating with attorneys and clients, and keeping complex legal processes running smoothly.

 

Key Responsibilities:

  • Prepare, review, and file patent and trademark applications, renewals, and prosecution documents for both U.S. and international matters.
  • Draft, edit, and proofread legal correspondence, filing documents, transmittals, and other IP-related materials to ensure accuracy and completeness.
  • Coordinate with attorneys, paralegals, clients, foreign associates, and government agencies regarding ongoing intellectual property matters.
  • Monitor docket deadlines and proactively track upcoming filing requirements to ensure timely completion of all work.
  • Manage incoming and outgoing correspondence, maintain client communications, and organize electronic and physical case files.
  • Assist with preparing exhibits, supporting documentation, and administrative materials related to intellectual property disputes and litigation when needed.
  • Process billing entries, review invoices for accuracy, and assist with payment requests and expense reimbursements.
  • Maintain organized records and ensure files are opened, updated, and closed in accordance with firm procedures.
  • Collaborate with the Intellectual Property team to prioritize assignments and provide seamless administrative support.

Qualifications:

  • Minimum of 3 years of experience as a Legal Assistant supporting an Intellectual Property practice.
  • Working knowledge of U.S. and international patent and trademark prosecution processes, terminology, and filing deadlines.
  • Familiarity with USPTO rules, procedures, and intellectual property management software.
  • Strong organizational and time management skills with the ability to prioritize multiple assignments.
  • Exceptional attention to detail and commitment to producing accurate, high-quality work.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Self-motivated team player with a collaborative approach and strong sense of ownership.
