We are seeking a detail-oriented, proactive, and personable Front Office Receptionist to serve as the first point of contact for clients, prospective clients, visitors, and callers. This role is ideal for someone who is dependable, organized, adaptable, and able to manage multiple priorities while providing a professional and welcoming client experience. Strong communication skills and experience with Adobe, Microsoft Word, email, calendaring, and other professional platforms are preferred, but we also value someone who is eager to learn, resourceful, and a strong problem solver. Type: Full-Time, On-Site/No Remote (Open to Discussing Part-Time Role)
Hours: 8:00 am – 12:00 pm, 1:00 – 5:00 pm Monday-Friday

Compensation: $18–$22 per hour, depending on qualifications and experience.
Responsibilities
Client Intake, Reception, & Visitor Interaction:
- Answer telephone calls, greet office guests, and direct clients, vendors, and visitors professionally.
- Serve as the primary front-office gatekeeper by screening calls, routing communications, and helping clients reach the appropriate team member.
- Handle initial client inquiries, provide intake documents, explain general fee and payment processes, and follow firm procedures for opening potential client files.
- Collect initial client materials and information, maintain organized intake records, and communicate intake status to the appropriate legal assistant or attorney.
- Monitor front-office email, voicemail, and daily communications to identify next steps and ensure timely follow-up.
Attorney & Legal Assistants Support:
- Coordinate closely with legal assistants regarding daily client communications, intake updates, scheduling needs, and pending administrative tasks.
- Assist with attorney and legal assistant calendars, meeting scheduling, reminders, and preparation for client appointments.
- Anticipate attorney and team needs by preparing client-facing materials, helping organize meeting documents, and supporting smooth client interactions.
- Provide personal assistance to attorneys and legal assistants as needed and appropriate.
General Administrative Duties:
- Maintain the front desk, reception area, conference room, and shared office spaces in a clean and professional condition.
- Prepare the conference room for meetings and help manage office supplies, mail, deliveries, scanning, filing, and other daily office tasks.
- Provide assistance to team members, perform necessary errands, and support firm operations as needed.
- Perform other administrative duties as required to support attorneys, legal assistants, clients, and overall office operations.
Qualifications
Experience & Skills:
- At least 3 years of experience in a professional office, receptionist, administrative, or customer service environment.
- Strong command of front-office procedures, client service, scheduling, phone etiquette, and office administration.
- Proficiency with Microsoft Office Suite, Adobe software, email, calendaring, and basic document management.
- Comfortable learning new systems, following established procedures, and helping improve workflows.
