EMPLOYEE OWNER POSITION SUMMARY
The Leave of Absence (LOA) and Disability Administrator serves as the centralized point of contact for employee leave of absence, disability, and workplace accommodation matters across all company divisions and departments. This role partners closely with the company's third-party leave and accommodation administrator, HR leadership, managers, employees, and vendors to ensure the consistent, compliant, and timely administration of leave and accommodation processes. This position is responsible for monitoring the effectiveness, responsiveness, and overall administration of the company's third-party leave and accommodation administrator to help ensure employees receive appropriate support, timely communication, and compliant case management throughout the leave and accommodation process. This position assists HR leadership and management in navigating the legal complexities, compliance obligations, and operational considerations associated with employee leave and accommodation requests. The role also collaborates with HR leadership on sensitive or complex situations involving leaves, return-to-work matters, workplace accommodations, and disability-related issues.
JOB DUTIES AND RESPONSIBILITIES:
โ€ข Serve as the primary internal contact for employee leave of absence, disability, and workplace accommodation matters.
โ€ข Coordinate and partner with the company's third-party administrator regarding FMLA, CFRA, ADA, workers' compensation, pregnancy disability leave, short-term disability, long-term disability, and related leave or accommodation matters.
โ€ข Assist employees, managers, and HR leadership with leave and accommodation processes, eligibility guidance, documentation requirements, return-to-work coordination, and interactive process communications.
โ€ข Collaborate with HR leadership on complex or sensitive leave and accommodation situations to help ensure legally compliant and consistent practices.
โ€ข Manage and monitor leave and accommodation cases to ensure timely follow-up, accurate documentation, compliance with applicable federal, state, and local laws, and proper case escalation when needed.
โ€ข Coordinate with payroll, benefits, managers, HR, and external vendors regarding leave status, benefit continuation, accommodation implementation, and related employee communications.
โ€ข Ensure employees are properly informed of benefit premium payment obligations while on unpaid leave and coordinate collection efforts as needed.
โ€ข Process and track leave-related payroll and timesheet adjustments, including coordination of sick leave, vacation accrual usage, and leave pay coding.
โ€ข Maintain internal calendars and status trackers related to employee leaves of absence and workplace accommodations, including anticipated return-to-work dates, accommodation review periods, and extension requests. Coordinate with the company's third-party leave and accommodation administrator and provide regular status updates to HR Managers and operational leadership regarding leave and accommodation progress.
โ€ข Attend recurring meetings with the company's third-party leave administrator to review pending claims, escalations, status updates, and outstanding documentation needs.
โ€ข Monitors the effectiveness of the third party leave and accommodation administrator.
โ€ข Assist with disability claim administration, employment development department (EDD) audits, wage verification requests, and required leave-related reporting.
โ€ข Maintain confidential records and documentation related to leave, disability, and accommodation matters.
โ€ข Support HR leadership in developing and maintaining standardized leave and accommodation practices, procedures, and manager guidance.
โ€ข Performs additional HR tasks and/or special projects, as assigned.
QUALIFICATIONS:
โ€ข Bachelor's degree in Human Resources, Business Administration, or related field preferred.
โ€ข 3+ years of experience administering leaves of absence, disability, workers' compensation, or workplace accommodations.
โ€ข Strong working knowledge of federal and state leave and accommodation laws, including FMLA, ADA, CFRA, and related regulations.
โ€ข Experience working with third-party leave or disability administrators preferred.
โ€ข Strong organizational, communication, problem-solving, and interpersonal skills.
โ€ข Ability to manage sensitive and confidential information with professionalism and discretion.
โ€ข Proficiency with HRIS systems, Microsoft Office, and case management/documentation processes.
โ€ข Strong technical acumen with ability to learn and use technology to perform job requirements.
โ€ข Ability to meet deadlines and address time-sensitive issues.
โ€ข Ability to manage workflow amid shifting priorities.
SPECIAL POSITION REQUIREMENTS:

ESSENTIAL FUNCTIONS:
โ€ข Use standard office equipment, including computer, phone, copier/scanner, etc.
โ€ข Ability to be stationary for long periods of time, up to 8 hours per day.
โ€ข Ability to be in motion for periods of time, up to 4 hours per day.
โ€ข Ability to lift and relocate up to (25) pounds.

SCHEDULE & TRAVEL:
โ€ข Monday-Friday from approx. 8:00 am-5:00 pm
