This role is ideal for someone who enjoys building relationships, providing exceptional customer service, and supporting the day-to-day operations of a residential community.

Position Summary

The Leasing Specialist/Administrative Assistant plays a key role in supporting the daily operations of the property by combining leasing responsibilities with administrative support. This position serves as one of the first points of contact for prospective and current residents while ensuring the leasing office remains organized and operates efficiently.

Essential Responsibilities
  • Welcome residents, prospective residents, vendors, and visitors in a professional and friendly manner.

  • Answer and direct incoming phone calls and respond to office emails promptly.

  • Deliver exceptional customer service by responding to resident inquiries and directing requests to the appropriate team members.

  • Conduct property tours and educate prospective residents on community amenities and available apartment homes.

  • Process rental applications, including income, credit, and background screenings.

  • Assist with resident move-ins, lease documentation, and application processing.

  • Accept rental payments in accordance with company policies.

  • Process resident work orders through Yardi and ensure timely follow-up.

  • Maintain resident, applicant, and office files with a high level of accuracy and confidentiality.

  • Assist with affordable housing waitlist management and recertification processes, including preparing application packets, scheduling appointments, and collecting required documentation.

  • Coordinate office mail, purchase orders, invoices, and office supply inventory.

  • Serve as the primary point of contact for office technology and IT-related requests.

  • Support community outreach, marketing initiatives, and resident engagement activities.

  • Monitor local market trends and competitor communities.

  • Perform other administrative and leasing duties as assigned.

Qualifications
  • Previous experience in property management, leasing, administrative support, or customer service preferred.

  • Strong interpersonal and communication skills.

  • Excellent organizational and time management abilities.

  • Ability to maintain confidentiality and manage multiple priorities.

  • Spanish speaking required.

  • Proficiency with Microsoft Office; experience with Yardi or other property management software is a plus.

  • Professional, dependable, and customer-focused with strong attention to detail.

Physical Requirements
  • Ability to sit, stand, walk, and move throughout the property for extended periods.

  • Ability to occasionally lift or move up to 25 pounds.

  • Ability to operate standard office equipment, including computers, telephones, printers, scanners, and copiers.
