The Leasing Coordinator will provide administrative support to the lease administration team in the area of lease documentation tracking and recording, receipt and distribution of mails and correspondences, lease documentation scanning and file maintenance.ย  Where required, the Leasing Coordinator abstracts lease documentation and responds to simple lease interpretation requests and/or forwards such requests to relevant lease administration team members

KEY DUTIES & RESPONSIBILITIESย ย 

  • Act as single point of contact with Property Mgr. on a timely basis for amendments relating to lease buy-outs, lease renewals, terminations & sales with copies of supporting information
  • Coordinate the production of all reports including monthly transaction activity reports; distribute reports to external & internal concerned parties. Prepare ad hoc reports, as required
  • Assist Leasing/Tenant Relations Mgr. in the preparation of listing agreements & marketing packages for surplus space & other properties
  • Coordinate & monitor 3rd party KPIs (3rd party lease index)
  • Manage all transaction/lease files to ensure their accuracy, completeness & security
  • Provide support to paralegals in the preparation of lease documentation
  • Assist the Leasing Director & Leasing/Tenant Relations Mgr. to ensure that the delivery of services meets or exceeds the requirements as set out in the contract & complies with internal BGIS policies & standard operating procedures
  • Manage & maintain the integrity of the RealLease Database

KNOWLEDGE & SKILLSย 

  • More than 1 year experience of commercial lease abstraction or property administration work experience with a community college diploma preferably in accounting, business administration or law clerk studies
  • Administrative and organizational skills.ย  Attention to detail.
  • Computer skills in spreadsheet, database, and word processing applications
  • Familiarity with leases.ย 
  • Strong customer focus and a total commitment to customer satisfaction
  • Strong team playerย 
  • Strong time management skills

This is a regular, full-time position with a salary range of $52,864 - $66,080per annum. The starting salary will be based on the successful candidate's competencies, including but not limited to experience, education, professional designations and performance related to this role.ย
