Position Overview 

We are seeking a detail-oriented and organized Office Administrative Assistant to join our team. This role is essential to our daily operations, providing administrative support across multiple areas and ensuring smooth communication between tenants, property owners, vendors, and our management team. This is a supporting role within the company. 

Areas of Involvement 

Administrative Support 

  • Answer and route phone calls, emails, and other correspondence 
  • Maintain organized filing systems for property records, leases, and tenant information 
  • Prepare and process various documents including lease agreements, notices, letters and reports 
  • Schedule appointments and coordinate calendars for property managers 
  • Handle incoming and outgoing mail and packages 

Tenant Relations 

  • Assist with tenant inquiries and maintenance requests 
  • Process rental applications and conduct initial screening 
  • Coordinate move-in and move-out procedures 
  • Maintain tenant communication logs and follow-up on outstanding issues 

Property Management Support 

  • Input and update data in property management software 
  • Assist with rent collection and payment processing 
  • Prepare monthly reports for property owners 
  • Coordinate with maintenance vendors and contractors 
  • Support property inspections and documentation 

Financial Administration 

  • Assist with accounts payable and receivable processes 
  • Help prepare invoices and process payments 
  • Maintain accurate records of expenses and income 
  • Support month-end and year-end reporting 

Qualifications 

Required 

  • High school diploma or equivalent 
  • 1-2 years of administrative or office experience 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) 
  • Strong written and verbal communication skills 
  • Excellent organizational and time management abilities 
  • Attention to detail and accuracy in data entry 
  • Professional phone manner and customer service skills 

Preferred 

  • Spanish Speaking capabilities 
  • Associate's degree or relevant certifications
