Job description

SUMMARY
The Lease Specialist, Transactions, Administration and Documentation (Bilingual), supports the administration, analysis, documentation,
and coordination of a national commercial real estate portfolio. Working closely with clients, brokers, landlords, legal counsel, and internal
stakeholders, the incumbent provides lease administration support, bilingual lease documentation services, and transaction management to
ensure accurate lease records, regulatory compliance, informed decision-making, and successful portfolio outcomes.
The role requires strong commercial lease knowledge, analytical and financial acumen, exceptional attention to detail, and the ability to manage
multiple priorities in a client-focused environment.
 

Lease administration and analysis: abstracts key lease terms, supports accurate rent payments, reconciles landlord billings, prepares lease
profile reporting and analysis, and supports operations and transactions team.
Bilingual lease documentation: reviews and drafts French lease documents using client-approved templates to ensure accuracy, consistency,
and compliance with applicable standards and requirements.

Transaction support: Applies portfolio knowledge, contract law awareness, and commercial real estate best practices to provide support to the
client and transaction management team.


KEY DUTIES & RESPONSIBILITIES
Lease Administration & Portfolio Support

  • Maintain accurate lease, property, financial, and landlord records within lease administration systems.
  • Administer lease obligations, rent payments, operating costs, tax recoveries, reconciliations, and compliance requirements.
  • Analyze lease information, validate landlord billings, identify discrepancies, and recommend corrective actions.
  • Support lease administration process improvements, reporting, and operational initiatives.
  • Reports on Monthly Accounts Payable (AP) deliverables.
  • Creates reports and performs analysis to make recommendations to stakeholders at all levels.
  • Other assigned duties.
     

Lease Documentation

  • Provide guidance on bilingual documentation requirements and best practices.
  • Support of lease documentation team with lease-related documentation in English and French using approved templates and standards.
  • Ensure accuracy, consistency, and alignment between language versions of lease documentation.
  • Identify and resolve documentation discrepancies, omissions, and compliance concerns.
  • Other assigned duties.
     

Transactions

  • Support lease transactions including renewals, relocations, expansions, contractions, terminations, and new leasing opportunities.
  • Prepare lease summaries, financial analyses, transaction reports, and stakeholder presentations.
  • Coordinate with brokers, landlords, legal counsel, consultants, and internal teams throughout transaction lifecycles.
  • Support portfolio strategies through market research, lease analysis, and cost optimization recommendations.
  • Other assigned duties.

Knowledge & Skills

  • French/English bilingualism required, including strong written proficiency to support lease documentation review in both languages.
  • University degree, college diploma or professional certification.
  • 3 to 5 years in commercial real estate, lease administration, transaction management or related experience.
  • Demonstrated proficiency in MS Excel, Word, Outlook and lease administration systems.


Licenses and/or Professional Accreditation

  • Preferably has, or demonstrates an interest in attaining, Real Estate License in assigned province.
  • Real Property Administrator (RPA) designation would be considered an asset.

This is a regular, full-time position with a salary range of $63,397 - $79,246  per annum. The starting salary will be based on the successful candidate's competencies, including but not limited to experience, education and performance related to this role.
