Program Manager Autism & Montessori Kids Division

Position Overview


The Program Manager is accountable for providing leadership, support, and oversight of the day-to-day operations within the Autism and Montessori Kids division at OneHealth. This role ensures seamless intake, onboarding, service planning, scheduling, provider matching, billing, and clinical coordination. The Program Manager serves as a key leader in supporting families, providers, and staff while ensuring compliance with quality, financial, and legislative standards.


Program Operations

  • Lead the intake and onboarding of 3040 new clients within the Autism & Montessori Kids division.
  • Ensure onboarding documentation is fully completed, filed, and signed off by administrative staff.
  • Serve as the primary relationship owner for assigned clients and families, maintaining communication about service plans, funding (Ontario Autism Program, benefits administration, and other sources), and progress.
  • Service planning and provider matching: collaborate with families and clinical supervisors to align client needs with qualified providers.
  • Manage scheduling and rescheduling, ensuring sessions are aligned with provider availability, family needs, and service authorizations.
  • Partner with marketing to deliver workshops and campaigns that engage families and support community awareness.

Clinical Caseload Monitoring

  • Collaborate with clinical supervisors, senior therapists, and instructor therapists to ensure treatment plans are implemented with fidelity.
  • Develop and maintain service plans with the clinical team.
  • Monitor clinical documentation, treatment delivery, and quality assurance.
  • Ensure all support provided aligns with person-directed plans that respect dignity, rights, and well-being.
  • Lead weekly clinical team meetings to review service delivery, assignments, and quality standards.

Financial Management

  • Review and reconcile service plan budgets, billing, and payments.
  • Monitor program revenue and staffing expenditures to ensure financial accountability.
  • Approve payroll for supervised staff.
  • Ensure billing accuracy with families, funding sources, and third-party payers.

Staffing, Training & Development

  • Manage the recruitment, onboarding, and training of staff and providers.
  • Oversee provider credentialing and compliance requirements.
  • Foster a strong team culture through team norms, regular meetings, effective communication, and conflict resolution.
  • Ensure staff follow the Employment Standards Act, Occupational Health & Safety Act, Services and Supports to Promote the Social Inclusion of Persons with Developmental Disabilities Act, and other relevant regulations.
  • Provide coaching, mentoring, and performance feedback to supervisory staff.

Program Administration

  • Maintain appropriate staff and provider schedules.
  • Adjust scheduling to respond to staffing changes or client needs.
  • Oversee and approve therapy timesheets, aligning with service plans.
  • Ensure program goals align with OneHealths Montessori Kids mission and overall strategic objectives.

Qualifications

  • College Diploma or Bachelors degree in Human Services, Education, Psychology, or related discipline.
  • Training or certification in CPI (Crisis Prevention), Conflict Management, Leadership, Disability Studies, or ABA is an asset.
  • Minimum 57 years of supervisory/management experience, preferably in autism services, education, or developmental services.
  • Experience with service planning, budgeting, billing, and scheduling.
  • Strong knowledge of Autism Spectrum Disorder and evidence-based treatment models.
  • Demonstrated skills in people management, coaching, and staff development.
  • Competency with scheduling and database systems.
  • Knowledge of Ontarios relevant legislation (ESA, OHSA, Social Inclusion Act).
  • Experience with residential/respite or therapy center programs is an asset.
  • Bilingualism in English and French considered an asset.
