The Organization
For over 55 years, Urban Community School (UCS) has served Cleveland's children by providing an individualized, innovative, and challenging education. Rooted in the Ursuline Sisters' tradition of faith, character, and educational excellence, UCS engages our faculty, families, and community partners in the successful whole child development of students. Serving nearly 800 children from 6 weeks old through 8th grade, the school uses restorative practices and conscious discipline to foster growth and community. Accredited by the Independent School Association of the Central States (ISACS), UCS enrolls a student body in which seventy-six percent of families are economically disadvantaged.
Our growing 15-acre campus in the Ohio City neighborhood is home to a vibrant mix of facilities and partners. The Roundstone Athletic Center features the Glick Family Fieldhouse and the Greater Cleveland Sports Hall of Fame and Museum. The campus also hosts The MetroHealth System, House of Champions, Urban Squash Cleveland, USA Lacrosse, Re:Source Cleveland, and Facing History and Ourselves. Outdoor spaces include Doyle Field, a new Little League field, along with a sports mini-pitch, lacrosse field, basketball court, three playgrounds, and learning garden.

Role Overview
The Development Database Associate (part-time) supports the school's fundraising and advancement efforts by maintaining the integrity of donor and constituent data. This position is responsible for accurate gift processing, database management, reporting, and administrative support to ensure effective donor stewardship, fundraising campaigns, and development operations.
Responsibilities
Database Management
  • Enter, update, and maintain donor constituent records in the school's donor database/CRM.
  • Ensure data accuracy, consistency, and completeness through regular audits and clean-up projects.
  • Process address changes, contact updates, constituent relationships, and demographic information.
  • Assist with database imports, exports, and record maintenance.

Gift Processing & Acknowledgments
  • Process charitable gifts, pledges, matching gifts, and recurring donations in a timely manner.
  • Generate gift receipts, acknowledgment letters, and donor recognition reports.
  • Reconcile gift records with finance office reports as needed.
  • Maintain accurate documentation of donor transactions and communications.

Reporting & Analytics
  • Prepare standard and custom reports for fundraising campaigns, donor meetings, board reports, and annual giving efforts.
  • Assist in tracking fundraising progress and donor engagement metrics.
  • Support data analysis for prospect identification and donor segmentation.

General Fundraising Support
  • Access online giving portals through which UCS receives matching and other gifts electronically
  • Assist with mailing lists, event registrations, and donor communications.
  • Support fundraising campaigns by preparing constituent lists and data extracts.
  • Help maintain confidentiality and compliance with donor information and school policies.
  • Provide administrative support for development office projects as assigned.

  • Experience in a nonprofit, educational, or fundraising environment is a plus.

Physical Requirements and Work Environment:
  • Prolonged periods of standing, moving throughout the building and 15 acre campus, and climbing stairs in a two story building.
  • Prolonged periods of sitting at a desk and working on a computer
  • FBI/BCI background check required
