RAYUS Radiology is looking for a Lead Front Office Associate to join our team. We are challenging the status quo by shining light on radiology and making it a critical first step in diagnosis and proper treatment. Come join us and shine brighter together!As a Lead Front Office Associate, you will be responsible for providing services to patients and referring professionals by answering phones, scheduling appointments, cheerfully greeting and registering patients and performing other duties as assigned. This is a leadership role within the greater administrative team; from process improvements, staff planning, training and supervision..

This is a full-time position working Monday-Friday, 8 hour shifts between 7:00am-5:00pm.

ESSENTIAL DUTIES AND RESPONSIBLITIES:

(30%) Registration
  1. Greet and checks-in patients scheduled for imaging services; processes payment as needed
  2. Answer phones and handles calls in an efficient and friendly manner
  3. Field phone calls appropriately for Center Team Members
  4. Act as liaison between imaging technologists and the patients waiting for exams, and relays messages regarding scanner status and other Clinic information
  5. Maintain organization of the front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office cleanup
  6. Order office supplies as needed
  7. Maintain supply of patient information sheets
  8. Push patient imaging via electronic interfaces
  9. Complete patient appointment confirmation calls and provide preparation instructions to patients
  10. Fax/scan reports, billing information, and medical release forms as requested
(15%) Scheduling
  1. Arrange transportation, interpreters, and hotel accommodations for patients when appropriate
  2. Enter and submit patient exam orders
  3. Verify patient exam orders match exam schedules
  4. Schedule referrals and ensures proper authorizations are obtained
  5. Schedule walk-in patients
  6. Process requests for image orders and CDs from both the referring physicians and patients
  7. Maintains an up-to-date and accurate pending-scheduling list
  8. Maintain an up-to-date and accurate database of all current and potential referring physicians
(15%) Insurance
  1. Verify patient's insurance coverage
  2. Pre-certify all patient exams with the patient's insurance company
  3. Obtain insurance authorizations
  4. Apply knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain pre-authorization, if needed, prior to patient appointments
  5. Facilitate Release of Information (ROI) requests for patients, referring offices, other medical facilities, attorneys & insurance companies following Company guidelines
(35%) Functional Team Leadership
  1. Coordinate the training and onboarding of new team members
  2. Assist the Supervisor, or directly facilitates and leads regular team meetings and assigned team member one-on-ones
  3. Assist with the hiring process for new team members
  4. Monitor and approves assigned team member timecards
  5. Initiate and/or participate in the annual performance evaluations, learning/development and performance management of assigned team members
  6. Assist with the development of team member schedules to provide for planned time off, ensuring appropriate staffing levels and adequate coverage
  7. Evaluate workflows and implement process improvements for the team/department as appropriate
  8. Ensure the team has knowledge of company and department policies and corresponding procedures
  9. Proactively provides support to team members to ensure the highest level of patient satisfaction is reached and maintained
  10. Manage the department (in the absence of supervisor) and coordinates schedules to ensure appropriate coverage
  11. Leads special projects and/or committees, as assigned
(5%) Completes other tasks and projects as assigned

Required:

  1. High School Diploma, or equivalent
  2. Four (4) years' customer service experience
  3. Two (2) years' experience working in a professional office environment
  4. Experience serving as a resource to others and proactively identifying process improvement opportunities
  5. Experience leading/mentoring others

Preferred:

  1. Associate degree in a medical related, or other applicable field
  2. Two (2) years' experience working in a professional medical office experience
  3. Previous experience directly supervising others
  4. Working knowledge of medical terminology
  5. Working knowledge of medical insurance terminology
  6. Bilingual
