The Human Resources Associate is responsible for supporting the day-to-day operations of the Human Resources department. They serve as a key contributor in areas of employee onboarding and learning, hiring, employee relations, and benefits administration, with a continued focus on maintaining our Best Places to Work culture.
ESSENTIAL FUNCTIONS
  • Talent Acquisition and Onboarding
  • Work with regional Talent Acquisition partners to execute recruitment strategies through networking, social media, local college/university relationship building and other creative methods for attracting talented candidates
  • Create and manage job postings
  • Conduct initial screenings and make recommendations for further consideration to hiring managers
  • Partner with Talent Acquisition and L&D Programs team on annual internship program in collaboration with local leadership

  • Assist local leaders and colleagues with questions and guidance on hiring/onboarding process
  • Work with TA team members and local decision makers on interview scheduling
  • Administer screening procedures (assessments, background checks, reference checks etc.)
  • Employee onboarding in partnership with hiring managers and the operations team members
  • Facilitate new hire orientation process
  • Communicate new hire information to payroll
  • Complete I-9 and e-verification of all new employees within three days of hire
  • Conduct 60-day check-ins with new hires

  • Employee Relations
  • Proactively work with managers and colleagues to address employee performance issues, report complaints to regional HR leadership, and provide guidance to local leadership and people managers on appropriate resolution.
  • Support performance management process that ensures ongoing feedback and development opportunities, and work with people managers on effective use of the program
  • Escalate significant employee relations issues and formal performance counseling process to regional HR leadership
  • Collaborate with regional HR team to ensure compliance with West practices and policies

  • Administer OSHA and workers' compensation programs
  • Support Office Leaders with local emergency action plan, including coordination of any first aid, or first responder training

  • Talent Development
  • Identify employee development needs, and support the development and delivery of companywide learning strategies and programs in partnership with Learning & Development
  • Effectively promote and publicize learning opportunities available to colleagues
  • Support of annual mentorship program as needed

  • HR Administration
  • Assist with administration-related inquiries from West region HR team and national MMA team
  • Maintain current employee files, including filing of documents
  • Administer HR systems
  • Train employees on systems
  • Fully utilize HR applications to the company's advantage.
  • Recommend /implement new policies and procedures to improve HR department efficiency
  • Create and distribute reports for local management as necessary or requested
  • Assist Regional Learning & Development Team with program administration
  • Update and communicate changes of policies and procedures as necessary
  • Recommend new approaches, policies, and procedures to effect continual improvements in efficiency of department and services performed.
  • Manage exit process for employment terminations

  • Colleague Communication and Committee Membership
  • Support and participate in local culture initiatives.

  • Engage local colleagues in office activities
  • Communicate well-being programs and assist with onsite well-being related educational opportunities

KNOWLEDGE, SKILLS & ABILITIES
Successful candidate will be an outgoing, service-oriented individual with high personal standards and a hands-on work style. This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and deadlines simultaneously, adjusting priorities often, and managing frequent interruptions.
This position interacts with and provides service to a large group of colleagues and external vendors. The Human Resources Associate must be positive and approachable, and work effectively with diverse personalities. In addition, the following is required:
  • Minimum 2 years' experience working within a fast paced, service oriented, professional team environment with responsibilities directly related to the above is required; previous HR experience preferred
  • BA or BS degree majoring in Industrial Psychology, Organizational Development or Human Resources; or Certification in Human Resource Management through a PHR/SPHR accredited educational program or professional organization preferred
  • Strong knowledge of multiple human resource disciplines to include federal and state labor laws, wage and hour regulations, employee relations, recruitment, and benefits and compensation administration
  • Proficient in the use of MS Office software (Outlook, Word and Excel) and the Internet
  • Exceptional verbal, written and communication skills
  • Must be well organized, dependable and team oriented with the ability to prioritize, maintain a high level of confidentiality, and work effectively with all departments.
  • Valid driver's license and reliable transportation required

WORK ENVIRONMENT & PHYSICAL DEMANDS
  • May require occasional weekend or evening availability for special volunteer events.
  • Requires ability to travel regularly to all MMA Hawaii offices and work onsite for the majority of the day.
  • This position requires work in an office environment with significant use of a computer and ability to communicate with employees both verbally and in writing.
