Job description

This position provides contract management and administrative support to the attorneys working on various legal projects and processes within the Office of the General Counsel (OGC) and has primary oversight of administration of the company's contract lifecycle management (CLM) system.
Essential Position Responsibilities
Provides Contract Management and Administrative Support to OGC. Oversees administration of the enterprise-wide CLM system. Reviews and catalogs all signed contracts to ensure compliance with the company's contract management procedures. Inputs contracts into the CLM system and regularly performs reviews of contract records to ensure data accuracy and de-duplication. Administers security profile setup, system support, and training for company system users. Works to utilize integrated tools in the CLM system to automate or improve efficiency of OGC operations and trains OGC attorneys on these tools. Performs contract audits to ensure compliance with applicable law and company policies.
Monitors KPIs and Provides Data Analysis. Monitors contract expiration dates and other key performance indicators, and designs reports to support internal client goals under the direction of OGC attorneys. Utilizes reports to extract data on contract records and provides analysis to OGC attorneys and clients. Responds to interdepartmental requests for contract KPIs tracked in the CLM system.
Supports OGC Operations and Workflow. Follows established departmental procedures and guidelines to provide timely and effective support to OGC and its clients. Organizes and expedites the flow of work, ensuring OGC staff has access to information, correspondence, and documents as needed. Demonstrates a general knowledge of document formats of a legal nature. Assists in the administration of OGC programs to ensure that organizational legal matters are managed properly and efficiently. Maintains discretion and confidentiality at all times. Maintains records and documentation on contract deliverables.
Communicates Across Internal Departments. Communicates with internal departments concerning all matters of the legal department. Provides a bridge for smooth communication between internal departments and legal counsel, both internal and external. Answers questions and addresses issues. Builds relationships crucial to the success of the organization. Demonstrates leadership to maintain credibility, trust, and support with the organization.
Participates as a member of the Team. Participates in the ongoing development, communication and implementation of team concepts, programs, and policies; coordinates work to ensure best practices with all team members. Attends appropriate team meetings. As a member of the Team, fosters strong cohesiveness regarding all major issues, e.g., direction, annual plan, budget, policy changes, etc. Accepts responsibility to quickly identify any areas that lack cohesiveness, bringing them to the attention of the team leader and working with the team in a supportive manner to resolve issues and actively look for ways, and reinforce actions needed, to achieve synergy possible within the larger organization.
Simmons Operating systems principles and objectives. Is familiar with Simmons' established operating systems (e.g. quality, security, office environment, company policies, LEAN); understands the responsibility to maintain familiarity with the systems and this position's role in support of these systems - including a consideration of the impact of individual actions on the systems and the responsibility to communicate concerns and improvement ideas.
Performs other duties as necessary in support of business objectives. This position description is intended to guide the activities of the person in this position and is not intended to limit the thinking and creativity of the person as to the work of this function nor is it intended that this describe all the work that may be required of the person in this position.
Physical Activities: Enters and locates information on a computer. Visually verifies information, often in small print. May present information to small or large groups. Communicates with Customers, Vendors, or Employees via telephone, in person, and/or electronic mail. Move about in an office environment and surrounding property daily.
Personal Protective Equipment (PPE): Face mask/shields may be required in office settings. Additional PPE as required by facility.
Travel: May travel between facilities and offices located in Northwest Arkansas, Missouri, and Oklahoma.
Technical Experience: 3 years of business or general office experience including records management or data entry. Experience working in a corporate legal environment or law firm and/or experience with a contract lifecycle management system (such as Agiloft, DocuSign Navigator, or Ironclad) is a plus factor but not required. High degree of professional judgment; ability to generate trust and retain confidentiality. Must have strong organizational skills. Knowledge and working familiarity with Oracle Fusion, Microsoft Word, Excel, PowerPoint, Outlook, and other Microsoft 365-related applications required. Working familiarity with AI agents (such as CoPilot, Claude, or ChatGPT) is a plus factor but not required.
Industry Experience: A desire to learn and grow within the business of manufacturing or food processing is required. Law firm experience is a bonus but not required.
Minimum Education: Bachelor's Degree or 4 years equivalent experience.
