Administrative Assistant
Full-Time | On-Site | Mount Juliet, TN
Schedule: Monday-Friday, 7:00 AM - 3:30 PM | Reports To: Business Operations Manager
POSITION SUMMARY
Master's Landscape Design is looking for a welcoming, highly organized Administrative Assistant to support our Owner/Founder, Project Manager, and broader office team. Reporting directly to the Owner/Founder, this key role is all about keeping the day-to-day running smoothly - managing schedules, handling client calls with a warm and professional demeanor, coordinating customer intake and lead assignment, booking travel, and helping plan company events. Your attention to detail, follow-through, and communication skills will keep our team connected, efficient, and delivering at a high level.
KEY RESPONSIBILITIES
Executive & Calendar Support
  • Manage the Owner/Founder's calendar and coordinate all appointments
  • Book travel arrangements as needed
  • Provide additional administrative office support as needed to keep the company moving forward

Client Communication & Lead Management
  • Answer phones with a warm, welcoming demeanor and professionally intake potential customers
  • Ensure timely and professional follow-up for all incoming calls and inquiries
  • Assign sales leads to the appropriate team members promptly
  • Keep the CRM and lead tracking software accurate and up to date

Team & Operations Support
  • Support the Project Manager with appointment scheduling, 811 locate requests, permits, and other tasks as needed
  • Coordinate company events such as birthday breakfasts, team outings, and staff celebrations
  • Assist with sending client appreciation gifts
  • Maintain organization and consistent follow-through on tasks across multiple priorities
  • Demonstrate flexibility and attention to detail while managing a fast-paced workload

QUALIFICATIONS
Required
  • Welcoming and professional phone demeanor with strong written and verbal communication skills
  • Highly detail-oriented and organized with the ability to manage multiple priorities simultaneously
  • Proficient with Microsoft Office products and quick to learn new software including CRM tools
  • Adaptable and proactive, with a genuine interest in using AI to streamline job processes
  • Team player with a proactive attitude who embraces the company's family-oriented culture
  • Exercises sound judgment and maintains discretion and confidentiality regarding the Owner's schedule, business matters, and client information
