Job description

Duties include, but are not limited to:
(1) processing, maintaining, inputting and validating personnel transactions (Job Changes, certification requests, bids/TROs, RTFs, etc.) in Workday; may be back up to reception desk; (2) performing timekeeper duties in Workday, and maintaining timekeeping documents; (3) preparing and processing documents related to Family Medical Leave Act (FMLA), Fair Labor Standards Act (FLSA), and Information Technology System Requests (ITSR); (4) preparing travel authorities, spend authorizations and expense reports in Workday (formerly XM), mileage reimbursements, petty cash reimbursements, purchasing card reconciliations, invoice certifications, etc.; (5) typing and proofreading documents for accuracy, content, and format to ensure compliance with established policies and procedures; (6) assisting in the preparation, assemblage and distribution of materials for Board packages, legal agreements, special projects, etc.; (7) providing clerical
support for various selection interview processes; (8) coordinating and scheduling employees for training classes; (9) assisting in preparation of invoices, vouchers, budget, cost control, and accounting documents; (10) maintaining office files in accordance with LADWP's records retention schedule; (11) logging Chair and Furniture Requests, (12) ordering and maintaining office equipment and supplies; (13) may travel "on system" to other DWP facilities in the greater Los Angeles Basin or Owens Valley for meetings or trainings; and (14) performing other related duties, as required. This position will also support other offices/divisions that report to Power Exec Office on an as-needed basis.
