Position Title: General Clerk III / Medical Support Assistant
Work Location: NIH Clinical Center, Building 10, Bethesda, MD
Schedule: Days and evenings, including weekends, holidays, and overtime as needed.

Position Summary

The General Clerk III / Medical Support Assistant provides patient-facing administrative and clerical support in a healthcare environment. This position supports reception, appointment scheduling, patient registration, admissions, patient records, travel vouchers, data entry, reporting, office support, and clinical administrative coordination.

The role requires direct interaction with patients, visitors, physicians, nurses, and staff. The Medical Support Assistant must provide compassionate, professional, and responsive customer service while maintaining accuracy, confidentiality, and timeliness in all assigned duties.

Key Responsibilities

  • Greet and assist patients, visitors, physicians, nurses, and staff in a professional and courteous manner.
  • Answer and direct telephone calls.
  • Provide reception support and assist with daily opening and closing procedures.
  • Schedule, cancel, and update patient appointments in computerized scheduling systems.
  • Mark patient visits as arrived, canceled, or no-showed before the end of the workday.
  • Support patient registration, pre-registration, admissions, and outpatient processing.
  • Update patient demographic information accurately in electronic systems.
  • Apply accurate patient identification wristbands as required.
  • Prepare medical record documents and visit paperwork.
  • Assemble and disassemble inpatient charts.
  • Submit patient records to the appropriate department after proper labeling.
  • Assist with patient travel authorizations, vouchers, reimbursements, travel invoices, and transportation coordination.
  • Scan travel documents and other records into the appropriate electronic files.
  • Enter data and prepare reports, logs, statistics, and other administrative records.
  • Collect and enter patient wait-time and processing-time statistics.
  • Request, stock, and maintain office supplies, forms, patient materials, and other assigned supplies.
  • Assist with clinical support tasks such as monthly safety inspections and patient identification materials.
  • Coordinate interpreter services, transport services, or other patient support needs as assigned.
  • Maintain confidentiality of patient information at all times.
  • Follow professional conduct, attendance, appearance, privacy, and customer service requirements.
  • Float to other work locations as needed to support patient service operations.
  • Work beyond the assigned shift when needed to support patient care operations, with proper approval.

Minimum Qualifications

  • High school diploma or GED required.
  • Minimum of 1 year of direct, in-person patient-facing experience in a healthcare setting.
  • Basic knowledge of medical terminology.
  • Strong customer service skills and ability to work with patients who may be anxious, ill, stressed, or unfamiliar with the facility.
  • Ability to communicate clearly and professionally in English, both orally and in writing.
  • Basic computer skills, including data entry, scanning, copying, filing, and internet research.
  • Proficiency with Microsoft Office applications, including Word and Excel.
  • Ability to operate office equipment such as computers, copiers, scanners, fax machines, and labelers.
  • Ability to follow detailed procedures and enter information accurately.
  • Ability to maintain patient confidentiality and comply with privacy requirements.
  • Ability to work days, evenings, weekends, holidays, and overtime as needed.
  • Ability to complete required medical clearance, background/security onboarding, training, and orientation requirements.
  • Ability to walk, use computers for extended periods, and carry records, supplies, or equipment up to approximately 50 pounds when required.
