Job description

Title: House Manager & Family Assistant (with Meal Prep Support)

Location: Davidson, NC 28036

Employment Type: Part-time (20-30 hours/week; 20 hours guaranteed)

Proposed Start Date: ASAP

Compensation: $25-30/hour, based on experience

Requirements:

  • Maintain a smoke-free environment
  • Reliable transportation (family will provide mileage reimbursement)
  • Vaccinations preferred (general, COVID & Flu)

Proposed Schedule:

  • Flexible hours, Monday-Thursday, ~5 hours/day, with a preference for no work after 6:30 PM (family time)

We are a busy family of four, balancing our demanding careers with quality family time. Our two children, aged 6 and 3, are at the center of our lives, and we are looking for someone who can help maintain a calm and organized environment amidst our busy schedules. Both parents have high-pressure roles, with one parent who works from home 3 days a week, and with such demanding professional lives, we need someone who can manage the day-to-day tasks that keep our home running smoothly, ensuring it remains clean, organized, and a comfortable place to live and work.

Our goal is simple: we want to offload household responsibilities so we can focus on quality time with our children and our careers. We need someone who can handle routine house management tasks, including cleaning, meal prep, and errands, and support during peak times like birthdays and holidays. We value efficiency, reliability, and above all, effort, and we are looking for someone who shares these values. You'll be key in supporting us, helping to create an organized space that nurtures both productivity and family time. We're looking for someone who understands our standards and takes pride in maintaining our home to meet those expectations.

Who You Are / What We're Looking For:

We need someone who is highly organized, proactive, and capable of executing tasks independently with minimal direction. A professional approach is key. We are looking for someone who will seamlessly integrate into our home while maintaining clear boundaries and a respectful, professional relationship.

The ideal candidate will possess a project manager mindset, be able to plan and execute tasks with precision while maintaining a calm and friendly demeanor. You should be capable of taking ownership of your responsibilities, verifying expectations when necessary, and always moving forward with initiative. We value someone who can balance consistency and strong communication, managing daily, weekly, and monthly tasks without reminders.

Comfort with kids is important, as part of your role will involve light/backup childcare support. We have existing childcare support through a strong network of babysitters and the kids' grandparents, so this will not be your primary responsibility. We are looking for someone who understands our family dynamics and can help keep our home organized and clean, enabling us to focus on what truly matters-spending time together as a family.

Key Responsibilities:

Household Management & Organization:

  • Reset and tidy rooms daily
  • Maintain and refresh entryways, garage, mudroom
  • Ensure home is prepped for cleaning services (1-2x/month)
  • Load/unload dishwasher, wash dishes in sink, wipe kitchen surfaces and bathroom countertops, vacuum high traffic areas, take out trash and recycling (including breaking down boxes)
  • Supervise and coordinate with vendors for repairs, cleaning, and maintenance
  • Conduct seasonal swaps (clothing, bedding, etc)
  • Prepare and coordinate donation drop offs and pick ups
  • Prepare for family events, holidays and guest stays
  • Maintain household organization systems, including closets, pantry, and seasonal clothing management

Inventory Management & Errands:

  • Create and manage running household supply lists
  • Track and restock pantry, fridge, toiletries, and household supplies
  • Coordinate and manage household orders from Amazon, Costco, Target, etc.
  • Handle package pickup, mail sorting, and deliveries
  • Run errands (grocery shopping, pharmacy pickups, dry cleaning, returns, gift shopping)

Meal Planning & Preparation

  • Plan and prep healthy meals/snacks for adults and/or kids 2x weekly
  • Batch-cook weekly meals (2x)
  • Shop for groceries and meal-related items
  • Follow dietary needs and family preferences (kid friendly, healthy/clean)
  • Clean kitchen post-prep and manage kitchen tidiness

Laundry & Linen Care:

  • Wash, dry, fold, and organize family laundry (clothing, bedding, towels)
  • Refresh towels, wash bedding and remake beds once/week
  • Restock essential linens as needed
  • Keep laundry areas tidy, organized and well-stocked with supplies
  • Handle special care for delicates and school uniforms
  • Drop off/pick up dry cleaning

Deep Cleaning & Special Projects:

  • Maintain and refresh specific zones (entryways, garage, mudroom)
  • Clean humidifiers, washing machines, and air purifiers monthly
  • Proactively organize special projects: pantry, laundry, others as needed

Vehicle Management

  • Schedule and oversee maintenance, oil changes, and inspections
  • Track registration, insurance, and service schedules

Vendor & Property Oversight:

  • Schedule and supervise service providers (cleaners, contractors, landscapers)
  • Research and coordinate repairs, maintenance, and quotes
  • Manage routine upkeep across one properties
  • Oversee outdoor spaces and seasonal maintenance needs (water flowers/plants seasonally)
  • Serve as primary contact for vendors or guests

Family Support & Child Assistance:

  • Occasionally assist with school/activity pick-ups or drop-offs
  • Occasionally provide backup childcare in the event of a scheduling issue (e.g., unexpected traffic, one parent traveling, last-minute work meetings, etc.)

Administrative & Personal Assistant Support:

  • Assist with coordination of events, appointments and guest prep
  • Future responsibilities may include some or all of the following:
    • Help with travel planning, scheduling and logistics
    • Manage family calendars and reminders
