Job description

Coldwell Banker Hearthside is seeking a dynamic and highly organized professional to join our team as a Human Resources & Executive Assistant to the COO. This hybrid role will provide the opportunity to support key HR functions while also working closely with our Chief Operating Officer to drive operational efficiency and support high-level decision-making. Key Responsibilities:

Human Resources Support:

  • Recruitment & Onboarding: Manage the full-cycle recruitment process, including posting job openings, screening candidates, conducting interviews, and facilitating onboarding for new employees.
  • Employee Relations: Serve as a point of contact for employee inquiries, providing guidance on company policies, benefits, and workplace issues.
  • HR Administration: Maintain accurate employee records, process payroll, track attendance, and manage benefits administration.
  • Compliance & Policies: Ensure HR practices comply with all relevant laws and regulations, and help draft, update, and implement company policies and procedures.
  • Training & Development: Assist in organizing employee training sessions, professional development opportunities, and performance reviews.
  • Employee Engagement: Foster a positive work environment through regular communication, team-building activities, and employee recognition initiatives.

Executive Assistance to the COO:

  • Calendar Management: Manage and prioritize the COO's schedule, ensuring all appointments, meetings, and travel arrangements are organized and executed efficiently.
  • Meeting Preparation & Support: Prepare agendas, take minutes, and follow up on action items for executive meetings.
  • Project Coordination: Assist the COO with various operational projects, tracking progress and ensuring deadlines are met.
  • Communication & Liaison: Act as a liaison between the COO and other departments, executives, and external partners to ensure smooth communication and operational alignment.
  • Document Management: Assist with the preparation and editing of presentations, reports, and other key documents for the COO.

Qualifications:

  • Proven experience in Human Resources, executive support, or a similar administrative role
  • Strong understanding of HR principles, employment laws, and best practices
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines
  • Exceptional verbal and written communication skills
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong problem-solving skills and attention to detail
  • Positive, proactive attitude with the ability to work independently and as part of a team
  • A degree in Human Resources, Business Administration, or related field is preferred, but not required
