POSITION SUMMARY: This position is responsible for performing administrative and sales support in the Investment Services Division; Supporting both the Kennebec Wealth Management (KWM) and the Investment Management and Trust Teams(IMT). 


KEY RESPONSIBILITIES:


Administrative support: Act as back up support to the KWM Client Services Associate, IMT Relationship Associate and IMT Trust Administrator.  Interact with customers and visitors in a courteous, confidential and professional manner; prepare correspondence; maintain files; schedule meetings and appointments; maintain calendars; receive, sort and distribute incoming mail as needed; transmit telephone messages. Order and maintain departmental supplies. Perform a wide variety of departmental functions to meet the established objectives of each client. 

With the direction and support of the KWM Account Executive, prepare client and prospect lists for development and analysis.  

Initiate phone call/email to increase client contact and set up client meetings with Account Executives. Assist with preparation for various client prospect meetings. 

With Direction and support of the IMT Relationship Associate and Trust Administrator, provide administrative and sales support to the IMT team to assist with superior client experience for Investment Management & Trust Clients. Support Trust Team to meet and exceed annual goals.   Support client communication plans including initiation and coordination of client meetings. Assist with planning and preparation of materials for client, prospect, and internal meetings. Assist with completion of select annual client reviews. 


Compliance: Maintain files and comply with all applicable Federal, State and FINRA rules and regulations and ensure compliance with LPL and Bank  policies and procedures,; coordinate marketing materials with IMT and KWM support and with Kennebec Savings Bank ("KSB" or the "Bank") and LPL. Stay informed of regulations that impact the financial industry and clients.


Support Bank products/services: Maintain knowledge of current Kennebec Savings Bank ("KSB") products and services. Actively utilize as many Bank products and services when possible in order to fully understand their features and benefits and to be able to communicate effectively with customers and prospective customers.

Talk to customers and listen for "cues and clues" to determine needs; respond to customer inquiries and evaluate their needs; suggest Bank products/services to customers to meet their needs; make referrals to other Bank personnel as appropriate. 


Community/public relations: Actively participate in community organizations and events. Represent Investment Services and the Bank in the community. 


Other duties:  Demonstrate reliable attendance and punctuality. Attend and participate in Investment Services and Bank meetings as appropriate. Attend internal and external training to improve skills and remain abreast of current issues and requirements affecting Investment Services.  

Perform other duties as required.

EDUCATION/EXPERIENCE REQUIRED:

  •  Bachelors degree or equivalent work experience.
  •  1 to 3 years of experience in the financial services industry preferred.
  •  Computer literate, with specific experience in word processing and spreadsheet applications.
  •  Highly organized, with absolute attention to detail.
  •  Team player, collaborative, and able to work with and through others.
  •  Desire to obtain SIE Certificate, Series 7 & 66 licenses, as well as State of Maine insurance license, is supported but not required.
  •  Must be able to communicate with people in a confidential, supportive and professional manner in person, by telephone, and written correspondence.

OTHER REQUIREMENTS:

  •  Must be able to lift files and other documents of approximately 20 pounds.
  •  Must be able to stand or sit for extended periods of time.
  •  Must be able to spend extended periods of time operating a computer keyboard and working at a computer monitor.
  •  Must be able use the telephone to converse with customers; must be able to communicate clearly by telephone; must have good listening ability and skills.
  •  Must have strong written communications skills, including letter-writing ability.
  •  Must be able to prioritize and organize workflow; must have good attention to detail; must be able to handle multiple jobs.
  •  Must have the ability to think through a problem, following proper steps in finding resolution.
  •  Must have a high degree of ethics and maintain confidentiality of customers and accounts.
  •  Must be friendly, courteous and sensitive to the needs of customers and coworkers.

Salary Range: Compensation for this position is based on knowledge, skills, experience, and demonstrated competency within the role.

Proficient - Midpoint: $25.06

Exceptional - Maximum: $28.92
