Job description

Your Impact: Key Responsibilities
  • Key Account Project Coordination: Coordinate incoming client requests, support project initiation activities, maintain project status updates, and work closely with internal teams to ensure timely service delivery. Assist with scheduling inspections, site visits, meetings, and other project-related activities while helping facilitate urgent response requirements when needed. Conduct periodic job site visits to support project coordination efforts, strengthen client relationships, and gain firsthand understanding of project progress and client needs.
  • Client Relationship Support: Serve as a communication resource for key commercial clients, ensuring inquiries, requests, and concerns are addressed promptly and professionally. Support Key Account Managers during client meetings, job site visits, and relationship-building activities while interacting directly with key account points of contact. Conduct client follow-up communications to gather feedback, ensure satisfaction, and help resolve issues while escalating concerns to leadership when necessary.
  • Client Communications: Coordinate and support project communications by working closely with operations, project management, and field teams to ensure updates are accurate, timely, and professional. Communicate project status, milestones, and next steps to internal and external stakeholders while maintaining strong relationships with clients and project teams.
  • CRM Data Integrity & Documentation Management: Maintain accurate client records, project notes, activity tracking, and account documentation within CRM and business management systems. Document client interactions, track action items, and ensure account information remains current and organized.
  • Administrative & Operational Support: Provide administrative support to the Key Accounts Team through meeting coordination, expense tracking assistance, communication management, and documentation support. Assist internal departments with obtaining required project and account documentation to ensure smooth project execution and billing processes.
  • Account Growth & Market Development Support: Assist with researching prospective commercial clients and identifying opportunities for new business relationships. Support onboarding activities for new accounts, including compliance documentation, insurance requirements, and account setup processes. As part of the role's development path, actively participate in business development activities, account growth initiatives, and relationship-building efforts while beginning to cultivate a future personal book of business.
  • Cross-Functional Coordination: Collaborate with operations teams, project managers, branch personnel, vendors, and company leadership to support client needs, enhance service delivery, and ensure alignment across all stakeholders.
  • Leadership, Development & Coverage Support: Provide account coverage during team member absences, meetings, travel, and industry events. Respond to urgent client needs and assist with coordinating leadership meetings, strategic initiatives, and key account activities. Participate in ongoing training, mentorship, and development opportunities with the expectation of progressing into a Key Account Manager role. Gain exposure to account management, client development, and business development activities while building the skills necessary to successfully manage strategic client relationships and a personal book of business.

Qualifications:
  • Education: High School Diploma or GED required. Associate's Degree in Marketing, Business Administration, Communications, Construction Management, or a related field preferred.
  • Professional Experience: Minimum 2-3 years of relevant professional work experience in account coordination, project coordination, administrative support, sales support, business development support, construction, restoration, facilities management, property management, commercial services, or a related field.
  • Other Relevant Skills:
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Experience utilizing Customer Relationship Management (CRM) systems.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Microsoft Teams.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to coordinate multiple projects, stakeholders, and competing priorities.
  • Professionalism in all business interactions.
  • Strong client relationship-building and stakeholder management skills.
  • Systems and process-driven approach with strong follow-through.
  • Ability to analyze information, maintain documentation, and prepare reports that support client relationships, account growth, and business development initiatives.
  • Willingness and ability to conduct job site visits and interact directly with commercial clients, field teams, and project stakeholders.
  • Basic construction, restoration, facilities management, property management, commercial services, or related industry knowledge preferred.
  • Demonstrated interest in account management, business development, and relationship management with a desire to grow into a Key Account Manager position.
  • Experience in restoration, construction, facilities management, property management, commercial services, or related industries preferred.
