Job description

Court Administrator Assistant

The Court Administrator Assistant carries out administrative duties including, but not limited to, case flow management, records management, fiscal management, statistical analysis and projections, public relations, court security management, and personnel management, including directing day-to-day operations and implements court policies adopted by the Judge.

Essential Functions:

  • Must accurately maintain the Court's Docket and Judge's Calendar, ensuring the timely and orderly setting of civil, family, and criminal cases. This requires interaction with attorneys and their staff, other Judges and their staff, and the general public by in office contact, telephone, email, fax and regular mail
  • Coordinates and communicates with attorneys and self-represented litigants in support of civil and family cases.
  • Coordinates mediation settings and other alternative dispute resolution matters as directed by the Court.
  • Acts as liaison between the District Court and District Attorney regarding scheduling of criminal cases
  • Prepares daily dockets for the Court and staff and assists attorneys/litigants with checking in for hearings
  • Create and distribute public notification of all hearings scheduled on a weekly basis to the assigned courts, Adult Probation, District Attorneys, District Clerk, and Information Technology departments
  • Responsible for daily bonding revocations, reinstatements, and conditions of bonds. Works directly with the McLennan County Jail, and local bonding companies
  • Handles and directs all phone calls, emails, faxes, etc sent to the Court
  • Reviews, researches and prepares any documents sent for Court's approval
  • Communicates with Texas Department of Criminal Justice officials regarding Defendant back time accounts and the Diligent Participation Credit mandated through the Texas Code of Criminal Procedures
  • Partners with the District Attorney Pretrial Division in regards to the scheduling and the authorizations of Defendants on alternative programs
  • Prepares and maintains dismissal dockets during each year as per the Court's direction including sending notices to all parties.
  • Supports jury coordination including jury panel ordering, jury letters, jury charge, jury excuses; Trial Preparation Orders, Docket Call Notices related to jury trials
  • Communicates with all other County Departments regarding District Court business. (Timesheets, requisitions, budget items, personnel items, etc.)
  • Partners closely with Sheriff Office in regards to the statuses of current pending and/or disposition of cases. Arranges transportation of inmates each working day
  • Reviews, updates, and schedule notifications regarding incarcerated and/or released inmates. Ensures contact is made with the Indigent Defense Coordinator to verify eligibility to appoint counsel
  • Verifies legal documentation and appoints appellant attorneys as needed for pending 10 th Appellant Court administrators
  • Works with Judicial Case Management technologies; partners with the Information Technology department to streamline the current programming system
  • Prepares and maintains any and all forms that may be needed by the Court
  • Prepares and provides to litigants any written rulings made by the Court
  • Prepares and arranges correspondence, telephone conferences, bench warrants, etc., related to incarcerated litigants
  • Regular attendance and timeliness are required

Minimum Requirements:

Required:

  • Associate's degree in Public Administration, Business Administration, Criminal Justice, or related field; in lieu of associate's degree: a High School Diploma or GED and a minimum 2 years' experience in clerical, administrative, customer service or related field that included heavy interaction with the public plus the years of experience required below

SKILLS ~ EXPERIENCE:

Required:

  • 1 year work experience in clerical, administrative, customer service or related field that included heavy interaction with the public
  • Must be loyal and able to keep the confidences of the office as required by law
  • Knowledge of legal terminology, judicial administration and support services, legal office procedures, court policies/rules, and practices related to criminal, family, juvenile or civil law matters
  • General knowledge of basic hardware and software and uses of a variety of different computer operating systems such as Microsoft Office Work, Excel, Outlook, and judicial case management systems
  • Exceptional skill in establishing and maintaining effective working relationships with County staff, attorneys, and citizens
  • Proficient verbal and written skills to communicate information and directions to courts, attorneys, and citizens
  • Ability to accurately sort, file, and retrieve material using alphabetical, numerical, or chronological systems

Preferred:

  • Bilingual proficiency in Spanish

The noise level in the work environment is usually moderate.

  • The employee frequently is required to stand. The employee is occasionally required to walk; sit; use hands to find, handle, or feel objects, reach with hands and arms; stoop and kneel

HOURS / SPECIAL CONDITIONS: The position schedule is 8 a.m. to 5 p.m., Monday to Friday.
