Junior Project Coordinator

Option Excavating Inc. is a locally owned full-service underground infrastructure installation company. We specialize in installing water, sanitary sewer, and storm sewer main lines and services. We provide excavation, grading, hauling, and underground utility construction services to the municipal, petroleum, commercial, residential, gas, and industrial sectors throughout Alberta.

We are currently seeking a Junior Project Coordinator to join our growing team.

This is a full-time, Monday to Friday position from 8:00 AM to 4:30 PM based out of our office. This position is ideal for a highly organized, detail-oriented individual who enjoys supporting project operations, coordinating administrative tasks, and working with both project management and safety/HR teams.

The successful candidate will have the opportunity to grow within the company and develop their career path based on their interests and strengths. This role has the potential to grow into a Project Manager position or develop into a specialized role supporting HR and Safety administration. Job Duties & Responsibilities


Project Coordination & Administrative Support

  • Support Project Managers with daily project coordination and administrative requirements.
  • Maintain organized digital project files, documentation, and records.
  • Download, organize, and log project photos from communication channels into appropriate job folders.
  • Complete data entry from employee timesheets into cost tracking sheets.
  • Prepare and provide daily and weekly project cost tracking reports.
  • Assist with tracking project progress, documentation, and outstanding items.
  • Coordinate equipment and material rentals, including scheduling, documentation, and communication with suppliers.
  • Assist with project documentation preparation and organization.
  • Support communication between field crews, supervisors, project managers, and office staff.
  • Assist with preparing project reports, summaries, and internal documentation.


Safety & Compliance Administration Support

  • Assist with monthly project submittals, including safety documentation and required records.
  • Organize and maintain safety documentation and project compliance files.
  • Support the collection and tracking of safety documents from field operations.
  • Assist with audit preparation and document collection.
  • Track safety-related requirements, training records, and outstanding documentation.
  • Assist with maintaining company safety systems and documentation.


HR & Administrative Support

  • Assist with employee documentation and record keeping.
  • Support onboarding and orientation processes.
  • Assist with maintaining employee records and company documentation.
  • Help coordinate training, certifications, and renewal tracking.
  • Support general office administration, filing, scanning, and data entry.
  • Assist with equipment and asset tracking.
  • Perform other administrative duties as required.
