Job description

The Vacancy Coordinator plays an important role in keeping upcoming vacant properties on track and well-prepared for new residents. In this role, you'll guide homes through each stage of the vacancy lifecycle from preparing for a move-out to coordinating a smooth move-in, helping ensure an efficient and positive transition for everyone involved
You'll work closely with a collaborative team across maintenance, customer success, and external partners, staying connected to each property's status while helping coordinate next steps. This is a great opportunity for someone who enjoys organization, communication, and being part of a team that values efficiency, support, and continuous improvement.
Responsibilities
  • Coordinate move-out timelines with owners and tenants, provide instructions, and schedule required inspections
  • Maintain accurate property records and prepare materials for upcoming vacancies
  • Monitor move-out progress, utility transitions, and turnover work with maintenance teams
  • Track property readiness and ensure information is complete for advertising by licensed parties where required
  • Coordinate with licensed agents or partners that monitor inquiries, and track application progress
  • Keep property owners informed and ensure compliance with local regulations
  • Support applicant onboarding, including documentation, payments, and pre-move-in requirements through systems
  • Confirm inspections are completed and coordinate move-in logistics and instructions
  • Conduct post move-in follow-up and assist with early resident communication
  • Maintain accurate system updates, coordinate across teams, and monitor property status and timelines
  • At times, visit properties locally in the field and meet with clients.

Required Qualifications
  • 1 year of property management experience
  • Strong organization, multitasking, and time management skills
  • Ability to coordinate with internal teams and external partners
  • Clear communication and attention to detail
  • Comfortable working in fast-paced, process-driven environments
  • Awareness of compliance requirements in regulated environments

Preferred Qualifications
  • Real Estate license preferred, or interest in obtaining one or more
  • Exposure to property inspections, turnovers, or vacancy processes
  • Experience working with maintenance teams, vendors, or field agents
  • Familiarity with rentals and tenant lifecycle and onboarding processes
